ERP Multi-Currency Exchange Rate Policy Template
Most revaluation arguments come down to one undocumented question: which rate, from where, loaded by whom. This template fixes those answers in one page that finance, auditors and the ERP administrator can all follow.

ERP Multi-Currency Exchange Rate Policy Template
Exchange Rate Policy: Kalahari Precision Engineering (Pty) Ltd
Effective date: 2026-11-01 Base currency: ZAR Main foreign currencies: USD, EUR, GBP
1. Purpose and scope
This policy defines how exchange rates are sourced, loaded, used and revalued in the ERP system for Kalahari Precision Engineering (Pty) Ltd. It applies to sales, purchasing, inventory receipts, banking and month-end close.
2. Rate source and rate types
Primary source: Commercial bank daily feed. Transaction rate: Daily spot. The rate source and any change to it must be documented and approved before use. A secondary source is used only to verify the primary rate.
3. Rate maintenance
The rate table is maintained by: Financial manager. Rates are loaded before the first transaction of each rate period. Any loaded rate that differs from the previous rate by more than 3 percent is checked against a second source before posting.
4. Revaluation
Open foreign currency receivables, payables and bank balances are revalued Monthly at the closing rate. Unrealised differences are posted to the unrealised exchange account and reversed at the start of the next period. Realised differences are posted at settlement.
5. Exceptions
A manual rate may be used only for a documented reason, such as a forward contract or a contractual fixed rate, and requires approval by the policy approver. The reference to the contract is recorded on the transaction.
6. Review
This policy is reviewed once a year and whenever the rate source, base currency or regulation changes.

Rate table control check
We can sketch an automated second-source check on loaded exchange rates for your ERP.
Optional. The tool and every export work without this. No spam.
How to use it
Fill in the fields for your base currency, main foreign currencies, rate source and revaluation frequency. Name the person who owns the rate table and the person who approves the policy. Export the document, add your company's wording where needed and have it signed. Keep it with your ERP configuration documents so a new administrator can see why settings are as they are.
- Agree the rate source with your auditors first.
- Name a backup for the rate table owner.
- Attach the policy to the month-end checklist.
What each section decides
The source and rate type decide the number that lands on invoices and receipts. The maintenance section sets the control, in this case a second-source check when a rate jumps beyond a threshold, which catches typing errors and feed faults. The revaluation section fixes timing and the posting pattern for unrealised and realised differences. The exceptions section stops ad hoc manual rates from creeping in.
Choosing values
Daily spot rates suit businesses with frequent foreign currency trades and a reliable feed. A weekly fixed rate reduces rate-table work but can create bigger differences in volatile weeks. Monthly revaluation matches the close cycle; daily revaluation is usually only needed for treasury or when banks and covenants require it. Pick the simplest regime your volatility allows.
Rolling it out in the ERP
Reflect the policy in the ERP: create the rate types, set the revaluation accounts, and restrict who can edit the rate table by role. Test a revaluation run and its reversal in a test company before month end. Train the backup person and add a calendar reminder for each rate load.
Frequently Asked Questions
Do I need a written policy for a small company?
A one-page policy is worth it as soon as you trade in a foreign currency regularly. It prevents inconsistent rates between staff, helps your auditors, and makes handover easier when someone leaves.
Which rate source is best?
Choose one that is reliable, published every business day and acceptable to your auditors and tax authority. Central bank rates are easy to defend, while bank feeds are closer to the rates you actually transact at.
How often should I revalue?
At least at each financial reporting date. Monthly is common for management accounts. Daily revaluation adds work and journals, and rarely changes decisions unless you carry large foreign currency balances.
Can I edit the generated document?
Yes. Export to Word or PDF and add your own clauses. Treat it as a starting draft and have your accountant or auditor confirm it fits local rules.
If you want your ERP to check loaded rates against a second source and flag outliers automatically, we can help design that. Ask for a quick review.
