GRNI Accrual Schedule Worksheet (Goods Received Not Invoiced)
Goods received not invoiced, or GRNI, is the liability for stock that has arrived but whose vendor invoice is not yet in accounts payable. This worksheet lists the open receipts, values the uninvoiced quantity and gives you a schedule that ties to the ledger at month end.
| PO / line | Vendor | Receipt date | Qty received | Qty invoiced | PO unit cost | Uninvoiced qty | Accrual value | Age bucket | Action | |
|---|---|---|---|---|---|---|---|---|---|---|
5000 | $900 | |||||||||
40 | $1,860 | |||||||||
40 | $8,480 | |||||||||
800 | $1,080 | |||||||||
150 | $1,170 |
Value each line at the PO price, not the expected invoice price, unless your policy says otherwise. Reconcile the total to the GRNI or received-not-invoiced account in the general ledger and reverse the accrual on day one of the next period.

How to use the worksheet
Export open receipts from your ERP: PO and line, vendor, receipt date, quantity received and quantity invoiced to date. Paste or type them into the rows. The sheet calculates the uninvoiced quantity and the accrual value at PO unit cost. Use the age bucket and action columns to drive follow-up with buyers and AP. Export to Excel for the month end close binder and attach it to the accrual journal.
The accounting behind it
When stock is received, the receipt typically debits inventory or expense and credits a GRNI clearing account. When the vendor invoice posts, the clearing account is relieved and the payable is set up. Anything left in the clearing account at period end is the GRNI balance. The accrual value for a line is uninvoiced quantity times the PO unit cost. Negative differences, where more was invoiced than received, are excluded here and belong in a separate review.
Reading the schedule
A healthy GRNI balance is mostly recent receipts. Lines older than 60 or 90 days usually mean a missing invoice, a price dispute, a duplicate receipt or a receipt posted to the wrong PO. Each of those needs a different fix, so give every aged line an owner. Large unexplained balances are an audit finding in many companies, so clearing the oldest items first is the cheapest way to shrink the risk.
Common mistakes
Teams often accrue at the invoice estimate instead of the PO price without noting it, forget to reverse last month's accrual, or leave service receipts in the list after the service period ended. Another frequent issue is partial invoicing across periods, which creates quantity differences that look like errors. Keep the quantity invoiced column current and reconcile to the ledger balance every month.
Frequently Asked Questions
What does GRNI mean?
GRNI stands for goods received not invoiced. It is the value of stock or services received for which the supplier invoice has not yet been recorded. It is a liability the company owes, so it is accrued at period end to match cost to the period of receipt.
How do I value a GRNI accrual?
Multiply the uninvoiced received quantity by the purchase order unit cost, adding any known freight or duty if your policy capitalises it. If the final invoice price is known to differ, document the adjustment. Avoid estimating from memory.
Should GRNI be reversed next month?
Yes in most accrual designs. Reverse the manual accrual journal on the first day of the next period so the real invoice posting does not double count. System generated GRNI balances clear when the invoice is matched.
What causes old GRNI balances?
Typical causes are missing vendor invoices, price or quantity disputes, receipts against the wrong PO, duplicate receipts and returned goods not credited. Age the list and assign an owner to each line so the oldest items are resolved first.
If building the GRNI listing means a manual export every close, Netray can help automate the extraction and ageing from your ERP receipt and invoice tables.
