Indian SME ERP Cost Calculator (Rs)

Most ERP budgets in India go wrong because they count the licence and forget implementation, training, integrations and yearly running cost. This calculator builds a rupee estimate of total cost of ownership from the inputs you can get from vendor quotes.

This is a planning estimate based on your inputs, not a quote. Vendor models, GST on licences and services, and partner rates vary. Get written quotes for scope, and add a contingency for data clean up and change management.

How to use the calculator

Enter your user count and the per-user licence or subscription price from a quote. Set implementation as a percentage of the first year licence. Many SME projects land between one and two and a half times the licence, but the right number depends on scope and data quality. Add customisation, training and hosting, then choose the horizon. The result shows year one cost, steady running cost and total over the period.

What goes into the number

Licence is what you pay for the right to use the software, either yearly subscription or one time with annual support. Implementation covers configuration, master data load, testing and go live. Training is not optional. Hardware or hosting covers servers, network or cloud. Support is a yearly percentage of licence. The chart shows how total cost scales as users grow, which helps you compare small and large rollouts.

  • Licence: subscription or perpetual plus support
  • Implementation: partner days and project management
  • Training and change management
  • Hosting, backups and security
  • Customisation, integrations, GST and e-invoice add-ons

Reading the result

Compare the average cost per user per year with the value you expect, such as reduced stock holding, fewer billing errors or faster closing. If year one is much larger than the running cost, check that implementation is not underbudgeted. If running cost exceeds what you pay for Tally and Excel combined, be sure the benefit is real before you commit.

Common mistakes

Typical mistakes are comparing a subscription quote with a perpetual quote without adding the support fees, leaving out GST and currency effects, ignoring data cleaning and parallel running, and using the vendor's best case implementation estimate. Add a contingency of ten to twenty percent to the total, and ask each vendor what is excluded from the quote.

Frequently Asked Questions

How much does an ERP cost for an Indian SME?

It varies widely with user count, modules and vendor, from a few lakh rupees for a small cloud deployment to several crore for multi-plant manufacturing. Use quotes and this calculator for your own scope rather than rules of thumb.

Is implementation more expensive than the licence?

Often yes for manufacturing, because configuration, data migration and training take consulting time. A ratio of one to two and a half times first year licence is common, but get a fixed scope and rate card.

Should I choose subscription or perpetual licence?

Subscription lowers upfront cost and includes updates, perpetual spreads cost differently and adds support fees. Compare total cost over five years using the same horizon, and include hosting.

Does this include GST?

No. Enter amounts without GST if you can claim input credit, or include it if you cannot. Check your own tax position with your accountant.
