Tally Stock Item Import Template (Excel)

Creating stock items one by one in Tally Prime is slow and error prone. This worksheet gives you a clean master layout with HSN, GST rate, unit and opening balance, calculates opening value, and exports to Excel so you can load it with an import utility or a TDL based import.

Stock group and unit names must already exist in Tally, or be created first, otherwise the import will fail or create new masters. Check HSN codes and GST rates against your latest notifications before importing. Always import into a test company first. Opening value here equals quantity times rate and is not a valuation opinion.

Item master clean up review

Send us an anonymised sample of your item list and we will point out duplicates and gaps before your next migration.

Optional. The tool and every export work without this. No spam.

How to use the template

Replace the sample rows with your items. Keep one row per stock item, pick the stock group and unit from the lists, and enter HSN and GST rate. Opening quantity and rate give the opening value, which you should reconcile to the closing stock in your last audited balance sheet. Export to Excel, then map the columns to your import tool.

  • One row per item, no merged cells
  • Use consistent naming so searches in Tally work
  • Keep part codes in the alias column
  • Reconcile the total to the balance sheet before importing

What Tally expects

A stock item in Tally needs a unique name, a stock group, a unit of measure and optionally GST details such as HSN and rate. Opening balances go in as quantity, rate and value. Units and groups are separate masters and must exist before items refer to them. Tally Prime can import Excel through its own import feature or through tools and TDL developed by consultants, and each expects a particular column layout.

Checking the result

After import, open the stock summary and compare item count, quantity and value with this sheet. Spot check five items with different units and GST rates. If values differ, the usual causes are rounding of rates, items imported twice with slightly different spellings, or opening stock already present from an earlier partial entry.

Common mistakes

Frequent problems are trailing spaces in names, mixed case duplicates, units spelled differently from the Tally master, and HSN codes stored by Excel as numbers so leading zeros disappear. Another mistake is importing opening stock into a live company without a backup. Clean the sheet first and always test on a copy of the company data.

Frequently Asked Questions

Can I import stock items into Tally Prime from Excel?

Yes. Tally Prime supports importing masters from Excel using its import feature or consultant built tools. The sheet must match the expected layout, and units and groups must exist first. Test on a copy of the company before importing live data.

What columns does a Tally stock item import need?

At minimum the item name, stock group and unit. For a useful master add alias, HSN code, GST rate, opening quantity, rate and value. Exact column headings depend on the import method you use.

How do I avoid duplicate stock items on import?

Sort the sheet by name, remove trailing spaces and case differences, and check that no two rows share a name or alias. Compare the item count in Tally to the count in this sheet after import.

Do I need to enter GST on opening stock?

No. GST on opening stock is informational here. Opening stock is usually carried at cost without GST. The rate and HSN on the master matter for future sales and purchase vouchers.

If you are planning a bigger master data clean up before moving from Tally to an ERP, Netray can help profile and de-duplicate item data and map it to the target system.
