How to use the calculator
Start with yearly invoice volume and the FTE time that really goes into invoice processing. Add software and per-page capture fees, then estimate how many invoices need help from someone outside AP and how long that takes. The result is a fully loaded cost per invoice and an invoices-per-FTE figure that you can set against internal targets.

The method
Total cost is AP labor plus software and page fees plus exception work done outside AP. Cost per invoice is that total divided by annual invoices. The exception line is often the largest hidden cost because it sits in other departments' budgets. A twelve minute buyer interruption on one invoice in five is easy to overlook, yet over tens of thousands of invoices it can rival the AP payroll.
How to read the result
Compare the cost per invoice before and after an automation project using the same definition. The chart shows how sensitive the figure is to exception rate: if the line is steep, fixing the cause of exceptions (price mismatches, missing receipts, unit-of-measure errors) will save more than buying a better extraction engine.
Common mistakes
Do not count FTEs who mainly handle payments, vendor master changes or reconciliations. Do not count a licence twice if it is already inside the ERP line. And avoid comparing your figure to a headline benchmark without checking whether it includes approval time, storage and exception handling.

Should payment runs be included?
Usually not. Keep the scope to receiving, capturing, coding, matching, approving and posting the invoice, so that the figure reflects invoice processing only.
How do I count a part-time AP clerk?
Use the fraction of their paid time spent on invoice processing, based on a short time study. Entering 0.5 FTE for half a person is better than rounding to one.
