Print one sheet per day or per job. Every line needs a job or work order number, otherwise the cost cannot be charged to anything. Reconcile the sheet against ERP material issue transactions at the end of each shift.

How to use the material check out sheet

Add one row per pick. Enter the job or work order number first, then the part, unit of measure, quantity taken and the unit cost. When leftover material comes back to the storeroom, fill in Qty returned on the same row so Net used and Cost of material used update. Export to Excel for the month-end job cost review, or print the PDF and keep it at the storeroom window. The example rows show a typical mix of bar stock, fasteners, sheet and consumables.

  • One line per part per pick, never combine two jobs on one line
  • Record the bin so the next cycle count is faster
  • Fill Checked out by with a name, not a team
  • Record returns on the original line so the pick history stays traceable

What a good check out list must capture

A check out list is a control document. Auditors and cost accountants look for the same five things: an identifiable job, an identifiable part, a quantity with its unit of measure, a person, and a date. Without the job number the material becomes unallocated overhead. Without the unit of measure a line that says 10 can mean ten feet or ten boxes. For lot or serial controlled material, add the lot number in the part field so traceability survives. For regulated work such as aerospace or medical devices, keep completed sheets with the job record for the retention period your quality system sets.

Mirroring the sheet in ERP material issues

In an ERP the same event is a material issue or backflush against a work order or project. SAP posts it as a goods issue to a production order (movement type 261), Infor SyteLine uses Job Material Transactions, Oracle Fusion uses a WIP issue transaction, and NetSuite uses a work order issue. A paper or spreadsheet check out sheet is useful as a fallback when scanners are down, when the storeroom is not yet on ERP, or for tools and consumables not tracked per job. Whenever you keep both, make the sheet the input and the ERP the record, and key sheet lines into the ERP the same shift.

  • Compare sheet totals to ERP issue totals per job weekly
  • Investigate any job where sheet quantity differs from ERP quantity
  • Use the Return rate figure to spot over-picking by planners or kitting

Common mistakes

The most common failure is taking material without a line and fixing it later from memory, which produces phantom inventory. The second is logging returns as a new negative line with no job reference, so the job never gets credited. The third is mixed units, such as pulling bar by the foot and logging it by the piece. Set one issue unit per part and put it in the part master. If your sheet and ERP disagree repeatedly, the cause is almost always timing, so key lines in at the point of pick.

Frequently Asked Questions

What is a material check out sheet?

It is a log of material taken from stores, recording the date, job number, part, quantity, unit of measure and the person who took it. Its purpose is to keep inventory accurate and charge material cost to the correct job.

Is a material check out list the same as a material requisition?

Close but not identical. A requisition requests material and is usually approved before the pick. A check out list records what was actually taken. Many shops combine both on one form with an approval signature column.

How do I post returns?

Record the returned quantity against the original job line on the sheet, and in ERP post a material return or negative issue to the same work order so the job cost is credited and stock is restored to the correct bin.

Can I use this sheet instead of ERP?

For a small shop it can work, but you lose automatic costing and traceability. It is best as a fallback or as the pick record that feeds ERP transactions, not as a long term replacement for inventory control.

If your storeroom still reconciles paper to ERP by hand, Netray can add a private AI layer that flags job issue mismatches directly from your ERP data, on-prem if needed.
