Use as a starting point and adjust to your contract. This template is not legal advice and does not replace the statement of work or license agreement with your SAP partner.

Scope review

Share your draft scope and get a short written review of gaps from an ERP practitioner.

Optional. The tool and every export work without this. No spam.

How to use the template

Complete the fields with the sponsor and the partner in the same room. Be specific about sites, legal entities and what you will not do. Export the document, circulate it, and get signatures. When a request later falls outside the charter, point to the out-of-scope list and handle it through change control, not goodwill.

What a good scope statement says

For manufacturers, the dividing lines are production, planning and shop floor data. Business One supports production orders, bills of materials and MRP, but how deeply you use them depends on your process. State which items are made to stock, which to order, whether you use routing and time tracking, and how costing will work. Also state integrations, because EDI, e-commerce and barcode add-ons are separate effort.

  • Entities, sites and currencies
  • Modules and processes in scope
  • Integrations and add-ons
  • Data history to migrate

Phases and exit criteria

Every phase needs a test for completion. Without exit criteria, a project drifts from design into build with open questions. The table in the template gives one exit criterion per phase. Tailor them, and make sure someone from the customer side owns each.

Common mistakes

Writing goals as features rather than outcomes, naming no customer-side decision maker, and leaving data cleansing out of the plan. Cleansing usually takes longer than configuration because it depends on people who also have a day job.

Frequently Asked Questions

Who should sign the charter?

At minimum the executive sponsor, the customer project manager, the partner project manager and the finance lead. Finance signs because most Business One processes post to the ledger.

How detailed should the scope be?

Detailed enough that an unlisted request is clearly a change. Name sites, processes and integrations, and list explicit exclusions. Detailed requirements belong in the blueprint, not the charter.

Does the charter replace the statement of work?

No. The statement of work is a contract. The charter is the working agreement on goals, roles and governance. They should not contradict each other, so read them together.

How often should the charter change?

Only through change control. Record the change, its cost and schedule effect, and the approver, then issue a new version. Silent edits defeat the purpose of the document.
