Order Cancellation Confirmation Template

When a customer cancels an order, the question is what was already spent. Without a written confirmation, you end up arguing about material, labor and finished parts months later. This template records the scope, the status at notice and any charge.

Whether and how much you can charge depends on your quote terms, the customer's contract and local law. Reference those terms in the document and have counsel review before relying on it. This is a starting point, not legal advice.

Cancellation cost lookup

Optional: see how committed cost per sales order could be pulled from your ERP.

Optional. The tool and every export work without this. No spam.

How to use the template

Capture the date you received the cancellation, not the date you processed it, because charges usually depend on production status at notice. Describe what was done and what was bought. Fill the cost table from work order actuals and purchase receipts, then choose what happens to any completed items. Send it for the customer's signature or written reply.

Building the charge on facts

A defensible charge uses documents: material purchase invoices, labor and outside processing actuals, and any tooling made for the order. Check your quote terms first. Many quotes state a cancellation schedule, such as percentages by production stage. If the customer's terms say otherwise, resolve that before you invoice.

  • Material bought and not returnable or usable elsewhere
  • Labor completed from work order reporting
  • Outside processing already paid or committed
  • Tooling or fixtures made specifically for the order

ERP clean-up after cancellation

Close or reduce the sales order lines, then deal with the supply side: cancel or reduce open work orders and purchase orders, release allocated material, and decide on completed stock. Leaving work orders open after cancellation distorts planning and cost reports.

Common mistakes

Accepting a cancellation by phone and doing nothing in writing, not stopping purchase orders for material, and canceling a rated or contract order without checking the contract. Also avoid informal charges with no cost backup, which customers will dispute.

Frequently Asked Questions

Can a manufacturer always charge for cancellation?

No. It depends on the quote terms, the contract, whether the item is standard or custom, and local law. Custom parts with material already bought are the usual case for a charge. Check your terms before assuming.

What if the customer disputes the charge?

Provide the cost backup: purchase invoices, work order actuals and the quote terms that applied. Customers rarely dispute documented costs. Disputes arise when the charge is a round number with no support.

Should I ship partially completed work?

Only if the customer agrees and the parts meet specification. Often completed quantity is shipped and invoiced at the order price, with cancellation applying only to the unstarted balance.

How soon should the confirmation go out?

Promptly, ideally the same or next business day. The longer you wait, the more production continues and the harder it is to agree the cost position.

Netray can build a read-only view of the work orders, material and purchase orders tied to a sales order, so cancellation costs come from real data.
