Overtime Pay and Loaded Cost Calculator

Overtime feels cheaper than hiring because there are no recruiting or training costs. This calculator shows the other side: the premium you pay, the payroll tax on it, and the fact that tired people produce less per hour. Then it tells you how many full-time positions the same hours would fill.

How to use the calculator

Enter the straight-time wage, the number of people regularly working overtime and the average overtime per person per week. Choose the pay multiple that applies. In the United States the Fair Labor Standards Act requires at least time and a half for non-exempt employees over 40 hours in a work week, and some states and agreements add daily rules. Set the productivity factor to reflect how much output you actually get from an overtime hour. The result updates immediately and the chart shows how cost grows with weekly hours.

  • Use payroll data from the last 12 months for hours.
  • Include only taxes that scale with wages.
  • Test a lower productivity factor for weeks above 50 hours.

How the cost is built

The overtime rate is the wage times the multiple. Adding employer payroll tax gives the loaded rate. Annual hours are employees times weekly overtime times weeks. Annual cost is hours times the loaded rate. The premium line isolates the extra paid above straight time, which is the part you could save by hiring. The effective cost per productive hour divides the loaded rate by the productivity factor, so a 90 percent factor raises the cost of each productive hour by about 11 percent.

Overtime or hire?

Compare the annual cost with the cost of the FTE equivalent shown. A new hire adds recruiting, onboarding, benefits and a learning curve, so the answer depends on how long the demand will last. Overtime is the right tool for short peaks, breakdown recovery and uncertain demand. Persistent overtime for more than a few months usually signals a staffing gap. Also compare with adding a shift, covered in the overtime versus extra shift calculator.

Common mistakes and ERP notes

People forget that overtime on a paid-leave week may not count, mix up exempt and non-exempt staff, and ignore the quality cost of fatigue. Pull hours from payroll or labor reporting: SAP time evaluation, Infor SyteLine labor transactions, or Epicor labor detail. Standard costing may not carry the premium into product cost, so check whether overtime premium is posted to a variance or overhead account.

Frequently Asked Questions

How do I calculate overtime pay?

Multiply the straight-time hourly wage by the overtime multiple, such as 1.5, then by the overtime hours. For a 24 per hour wage, 6 overtime hours at time and a half is 24 times 1.5 times 6, or 216 before payroll taxes.

Is overtime cheaper than hiring?

For short peaks, yes. For long-lasting demand, a new hire at straight time is often cheaper once you count the premium, fatigue and quality effects. Compare the annual overtime cost with the loaded cost of the FTE equivalent.

What is the FTE equivalent of overtime?

It is the number of full-time positions that would cover the same hours at straight time. Divide annual overtime hours by regular hours per week times 52. About 2,000 hours is one full-time position.

Does overtime reduce productivity?

Often it does, especially after long weeks. Studies of long hours show lower output per hour and higher errors, though the size depends on the work. Use the productivity factor to test your own case.

Netray can help build a read-only report of overtime hours and premium by department from your ERP or payroll export, so the pattern is visible before it becomes a habit.
