proALPHA Implementation Checklist for Manufacturers

proALPHA is a mid-market ERP used by many German and European manufacturers. A successful implementation depends less on the software and more on scope discipline, clean data and trained users. Use this checklist to plan each phase and to spot gaps before they cost time.

0%

0 of 35 items complete

22 critical items still open - these are the highest-risk gaps.

Download checklist:

1. Scope and governance

2. Process design and fit gap

3. Data and migration

4. Interfaces and localization

5. Testing, training and go live

Tick items as they are completed. Any unticked critical item on the go live day should be an explicit, signed risk acceptance.

Migration data pre-check

We can run an AI assisted review of your extracted master data for duplicates and inconsistencies before the first rehearsal. Optional.

Optional. The tool and every export work without this. No spam.

How to use this checklist

Work through the groups in order, but start data cleansing early because it is the item most often underestimated. Assign each item an owner and a date when you export the checklist to Excel. Critical items are flagged because skipping them is the most common cause of delayed go lives. Review the list in every steering committee until all critical items are closed or consciously accepted.

Scope and process design

Fit gap analysis is where budgets are won or lost. Every custom requirement should be challenged: does the standard process cover 80 percent of the need, and can the business adapt for the rest? Record the decision and the person who made it. Custom development adds upgrade cost for years, so treat it as an investment with an owner, not a favour to a department.

  • Compare current and target process maps side by side
  • Rank gaps by business impact, not by who asked loudest
  • Agree the costing method before configuring inventory
  • Plan authorizations early, not in the final weeks

Data, interfaces and testing

Plan at least two migration rehearsals and reconcile each against the ledger and the physical stock. Interfaces to banks, tax advisors, customers and shop floor systems should be tested end to end with real files. Test cases should follow real scenarios such as a make to order job with a purchased component, from quote to payment, because that is where integration defects appear.

Go live and hypercare

Choose the cutover date to avoid quarter end and inventory peaks. Define the rollback decision point in advance, and make sure the person who can say no is available. Hypercare should cover at least the first month-end close because that is when finance, inventory valuation and reporting issues surface. Keep a visible issue list and review it daily during the first weeks.

Frequently Asked Questions

Is this checklist from proALPHA?

No. It is an independent, general purpose checklist for mid-market ERP implementations, written with proALPHA style projects in mind. Follow your implementation partner's methodology where it differs and use this list as a cross check.

How long does a proALPHA implementation take?

Timelines vary with scope, number of sites and customization. Many mid-market projects run from several months to well over a year. Data readiness and user availability usually set the pace more than software setup.

What is the biggest risk in an ERP implementation?

Scope growth and poor data are the usual culprits, followed by key users who are not given time for the project. A strong sponsor and a firm change process address most of these.

Do I need to migrate all history?

Rarely. Most companies migrate master data, open items and open orders, and keep older history in an archive or reporting database. Decide with finance and your auditor what retention rules require.

If you want help turning this into a project plan, or want AI assisted checks on your migration data before the rehearsals, Netray can support that alongside your implementation partner.
