Stamping RFQ Package Template (Request for Quote)

A vague RFQ gets vague quotes. This template collects the part, material, volume, tooling, quality and delivery data a stamper needs, and asks for a price breakdown so you can compare bids fairly.

How to use the template

Fill in the part data, annual usage and price breaks. Choose who owns the tooling, because that changes how the supplier prices the part. State the PPAP level and the target date so the supplier can plan die build and sampling. The generated document includes a price breakdown table that asks for material, conversion, secondary operations, tooling amortization and packaging separately. Attach the drawing and 3D model when you send it, and export to PDF or Word.

Why price breaks and a breakdown matter

Stamping cost depends on volume because die cost and setup are spread across the program. Asking for several breaks shows the supplier's real cost curve and helps you negotiate. A line-item breakdown lets you compare material assumptions, which is where the largest gaps appear. If one bidder uses a 55 percent utilization and another 75 percent, the difference is visible in the gross weight line rather than hidden in the total.

  • Ask for the material basis and any index-linked adjustment clause.
  • State the Incoterms 2020 delivery point for each quote.
  • Require quote validity in days.

Common mistakes

Buyers often send a drawing with no volume, no revision and no tooling terms, and receive quotes that cannot be compared. Another is leaving PPAP level unstated, which changes the supplier's plan and price. A third is failing to define tooling ownership, bailment and maintenance responsibilities, which leads to disputes later. Keep the RFQ number in all follow-up documents and log the quotes in your ERP or a sourcing file for later audit.

Frequently Asked Questions

What should a stamping RFQ include?

Part number and revision, drawing and model, material and thickness, finish, annual usage and price breaks, tooling ownership, PPAP level and dates, packaging, delivery terms and quality requirements. Missing items lead to assumptions that make quotes hard to compare.

How many price breaks should I request?

Three to five that bracket the realistic range, such as 25 percent, 50 percent, 100 percent and 200 percent of EAU. This shows how price moves with volume and gives leverage if forecast volume changes.

Who should own the tooling?

Practice varies. Buyer-owned tooling gives portability but the buyer funds it. Supplier-owned tooling amortized in the piece price lowers up-front cost but needs a minimum volume or termination clause. Decide before the RFQ, and state it clearly.

Do I need PPAP for every stamped part?

Only if the customer requires it. Automotive programs usually require it, often at Level 3. Other sectors use first article inspection or a quality plan. State the requirement in the RFQ.

If RFQs, supplier quotes and awarded prices live in email and spreadsheets, we can help connect them to your ERP purchasing records.
