Business Central Financial Reports: Setup, Account Schedules and Export

Question
business central financial reports

Also searched as

  • business central account schedule
  • business central financial report export to excel
  • business central row definition column definition

Short answer

Business Central financial reports are built from a row definition (the lines, historically an account schedule) and a column definition (the periods and amounts), combined in a financial report you can run, filter by dimension and export to Excel or PDF. Standard reports such as balance sheet and income statement are included and can be copied and modified.

Applies to: Dynamics 365 Business Central online and on-premises; the pages were renamed from Account Schedules and Column Layouts to Financial Reports, Row Definitions and Column Definitions in recent releases

How to create and run a financial report

  1. 1Search for Financial Reports, and open one of the standard reports to see how it is built.
  2. 2Open Row Definitions (formerly Account Schedule Names) and create a new definition; add lines with a Row No., Description, Type and Totaling.
  3. 3Use type Posting Accounts with a totaling range such as 40000..49999 for income, and type Total or Formula for subtotals.
  4. 4Open Column Definitions (formerly Column Layouts) and add columns: Net Change or Balance at Date, with a comparison period or budget column.
  5. 5Create a Financial Report that combines the row definition and column definition, and set the default dimension filters and date filter.
  6. 6Choose View or Run, set the date filter and dimension filters, and review the result.
  7. 7Export to Excel or PDF, or use an Excel layout to keep a formatted workbook that refreshes on the live data.

Rows, columns and what each controls

Rows control what is measured. A row can sum a range of G/L accounts, reference another row through a formula such as total minus cost, or pull from cost types or cash flow accounts. Setting Show Opposite Sign flips the sign for presentation, which is often needed for income lines.

Columns control the time and amount. Typical columns are the period Net Change, Year to Date, Balance at Date, and a comparison column such as Same Period Last Year or Budget. Each column has its own comparison date formula, for example -1Y, so the same report works every month.

Dimensions and filters

Financial reports can filter by Global Dimension 1 and 2 and by additional dimensions. This is how cost center, department or project reports are produced without building a new report for each. Dimension totaling can also be defined on the row, restricting a line to a specific dimension value.

If a number does not match the trial balance, check the date filter, the dimension filter on the report, the totaling ranges and whether the account is set to a posting type. Missing accounts outside the totaling range are the most common cause.

Export and distribution

Export to Excel creates a workbook with the values. For repeatable board packs, use Excel layouts on the financial report so the workbook design is kept and the data is refreshed on each run. Reports can also be scheduled and sent by email through report scheduling features.

For analysis beyond what rows and columns can express, use Power BI reports over the finance data, or the trial balance and general ledger entries pages with Edit in Excel. Keep the official statements in financial reports so accountants have one controlled definition.

Common pitfalls

  • !Overlapping totaling ranges in rows, which double count accounts.
  • !Forgetting to update the row definition when new G/L accounts are added outside the range.
  • !Applying sign conventions inconsistently with Show Opposite Sign.
  • !Comparing a report run with a dimension filter to the unfiltered trial balance.
  • !Editing the standard report instead of copying it, then losing changes on upgrade.

How an ERP-grounded AI assistant handles this

ERPray can answer finance questions such as what drove the change in an expense line this month, by reading the G/L entries behind a row and showing the query. It complements financial reports rather than replacing them; the controlled statements stay in Business Central. On-premises, the model and retrieval layer run on your own hardware.

Frequently asked questions

What is an account schedule in Business Central?

It is the older name for a financial report row definition: a set of lines that total G/L accounts or formulas. In newer versions the pages are called Row Definitions, Column Definitions and Financial Reports.

How do I export a financial report to Excel?

Open the financial report, choose View or Run, set the filters, then use Export to Excel. You can also use an Excel layout so the workbook keeps its formatting and refreshes with new data.

Can I filter a financial report by department?

Yes, if department is a dimension. Set the dimension filter on the report or define dimension totaling on the row.

Why does my report not match the trial balance?

Check the date filter, dimension filters and totaling ranges, and confirm that every posting account is included once. Formula rows that reference the wrong row number are another frequent cause.

Unit Cost in Business Central and How to Set Up Cost Centers

On the Item Card, Unit Cost is a calculated average or standard figure that depends on the Costing Method, and it is recalculated when costs are adjusted. Business Central has no standalone cost center field on transactions: you model cost centers either with global dimensions or with the optional Cost Accounting feature, which maps G/L accounts to cost types, centers and objects.

How-to

Creating and selecting custom report layouts in Business Central

Business Central reports can render through a Word layout (simple, single-level documents like invoices) or an RDLC layout (complex, multi-level, grouped reports). Custom layouts are uploaded and assigned per report through the Report Layout Selection page, or shipped inside an AL extension with the rendering(...) property.

How-to

CalcFormula in Business Central: FlowFields With Sum, Count, Exist and Lookup

CalcFormula defines how a FlowField is calculated from other tables. A FlowField is not stored. It is computed on demand using Sum, Average, Min, Max, Count, Exist or Lookup over a source table filtered by conditions. Read it with CalcFields or SetAutoCalcFields, and keep it fast with a key that supports the filter and sum.

Error fix

Fixing "Cannot create a record in (table). The record already exists" in D365 F&SCM data entity imports

This is the standard kernel duplicate-key exception, thrown when the Data Management Framework tries to insert a staging row into a target table whose unique or alternate key already matches an existing record. It almost always means the entity's insert-vs-update logic did not recognize the target row as an update, not that you have a true accidental duplicate in your source file.

Error fix

Fixing "There are currently no batch servers available for processing" in D365 F&SCM

This message means the batch framework cannot find any AOS instance flagged as a batch server and available for the batch group the job is assigned to. The fix is almost always in server configuration (System administration > Servers) or batch group assignment, not in the batch job itself.

Error fix

Fixing "You do not have the following permissions on TableData (table): (permission)" in Business Central AL

This runtime error means the current user's assigned permission sets do not grant the required Insert, Modify, Delete, Read, or Execute right on that specific table. It is most common right after installing or updating a custom AL extension, because Business Central checks object-level permissions even for tables an extension owns.
