IFS Cloud: How to Set Up Parts, Find Help and Use Web Devtools

Short answer

In IFS Cloud a part starts in the Part Catalog and is then extended into an Inventory Part, and optionally a Purchase Part and a Sales Part, each holding the data for that function. Help comes from the in-app help and the IFS documentation site for your release.

Applies to: IFS Cloud, Aurena client. Page names can vary by release and by activated components.

Create a part end to end

  1. 1Open Part Catalog and create the part with a part number, description and unit of measure.
  2. 2Open Inventory Part for the part and create the inventory record for a site, choosing the part status, planning method and inventory valuation method.
  3. 3Set the lead time, safety stock, lot or serial tracking and supply or demand codes your business needs.
  4. 4If you buy it, create the Purchase Part and link the supplier, price and purchase unit.
  5. 5If you sell it, create the Sales Part with the sales price list and unit conversion.
  6. 6Check that costs, accounting groups and the part's product code and family are set, since they drive posting.
  7. 7Run a test receipt and issue to confirm the setup behaves before using the part in production.

Why there are several part records

IFS separates the master definition of a thing, the Part Catalog, from how each site or function treats it. Inventory Part holds stocking and planning settings, Purchase Part holds supplier-side data and Sales Part holds selling data. This lets one part be handled differently per site.

Most setup errors come from missing the second step: a part exists in the catalog but cannot be used on an order because no Inventory, Purchase or Sales part exists for that site.

Finding help in IFS Cloud

Use the in-app help or question mark option on a page to open context help. For deeper material, the IFS documentation site holds the user guides and technical documentation by release, which is the reference for your exact screens.

Your administrators can also add company-specific guidance. When documentation and the screen disagree, trust the screen and check your version.

What people mean by web devtools

There is no single product with that name that I can confirm for every release. In practice people mean either the browser's own developer tools, used to inspect the projection calls a page makes, or the Aurena design-time features for page personalization and extension. Both are useful to developers and administrators.

Use them to learn which projection feeds a page, then build integrations on the projection rather than screen scraping.

Common pitfalls

  • !Creating only the Part Catalog record and expecting it to be orderable.
  • !Choosing an inventory valuation method without agreeing it with finance.
  • !Leaving the part status at a value that blocks transactions.
  • !Missing unit of measure conversions between purchase and stock units.
  • !Following old documentation for a different release.

How an ERP-grounded AI assistant handles this

An assistant grounded in your IFS data can check a newly created part for gaps, for example a Sales Part with no Inventory Part for the site, and answer how-do-I questions from your own documentation. It reads only, and on-prem deployments keep it inside your network.

Frequently asked questions

What is the difference between Part Catalog and Inventory Part?

The Part Catalog is the master definition. Inventory Part is the site-specific stocking and planning setup built on it. A part needs both before it can be stocked.

Where is the IFS Cloud user guide?

In the IFS documentation portal for your release, and through the help option inside the application. Pick the release matching your environment.

Why can I not use my new part on an order?

Typically the Sales Part or Purchase Part is missing for the relevant site or the part status blocks the transaction. Check each record and its status.

Can I bulk load parts?

Yes through the migration capability or Excel based import in many releases. Rehearse in a test environment first.

IFS Cloud Migration Tool and the Service Update Process

IFS Cloud ships a data migration capability for loading legacy master and transaction data through staged migration jobs, and it follows a release model of feature releases plus service updates in between. Treat both as projects: migrate in rehearsed waves and test every update in a non-production environment first.

How-to

IFS Cloud Customer Order Supply Code and Project Orders

The supply code on a customer order line tells IFS how the demand will be fulfilled, for example from inventory, by a purchase order or by a shop order. For project-connected lines, the supply code together with the project and activity connection decides whether supply is reserved to the project or planned centrally.

IFS Cloud Versions: Release Names, Solution Sets and How to Check Yours

IFS Cloud releases are named by year and half, such as 22R1 and 23R2, with service updates between feature releases. Solution sets are packaged industry or regional content layered on the core product, for example for aerospace and defense, Europe-specific needs or service industries. To see which version you run, use the About information in the client or ask your administrator for the installed release and update level.

Error fix

IFS Cloud: Unable to Save, Internal Server Error and Quick Report Problems

In IFS Cloud a save failure or internal server error is almost always a server-side exception returned through the projection the page calls. Read the error detail, reproduce it in the browser network tab, then check the middleware and database logs for the real cause, which is typically a business rule, a missing permission, a bad customization or a stale cache. Quick Report problems are usually a missing permission grant or mismatched bind parameters.

IFS Cloud Workflow Example, External File Templates, Update Analyzer and PO Status

Treat IFS Cloud configuration as a set of building blocks: workflows or business events to react to changes, external file templates to load or send flat files, an update analysis step to check what a release will touch in your customizations, and the supported database views for reading data such as purchase order status. This page shows how each fits together with a worked approval example.

IFS Cloud Report Designer, Quick Reports and Crystal Reports: Which to Use

IFS Cloud has several reporting routes. Use Quick Reports for fast read-only lists of data, the report designer route for formatted operational documents such as order confirmations and pick lists, legacy Crystal-based layouts only where you already have them, and the analytical tools for dashboards. Report rules then control when and how a report is produced and sent.
