SAP Error: Define QM Procurement Key (How to Fix It)

Error
sap error define qm procurement key

Also searched as

  • sap qm procurement key not defined
  • qm proc active material master error
  • sap qm procurement key plant activation

Short answer

This error means the material master (or a vendor or plant setting) points at a QM procurement key that has not been defined in customizing for that client. Define the key in the IMG under Quality Management in Procurement, activate QM in procurement for the plant, then make sure the QM view of the material uses a valid key and control key.

Applies to: SAP ECC 6.0 and SAP S/4HANA on-premise with QM in Procurement

Fix the missing QM procurement key

  1. 1Note the plant, material and the exact message from the status bar. Use the long text to see which field it names.
  2. 2In SPRO go to Quality Management > QM in Logistics > QM in Procurement and open 'Maintain QM Procurement Key'. Check whether the key exists for your client.
  3. 3If it does not, create it with a key, a description and the settings for whether a QM system or quality assurance agreement is required.
  4. 4Activate QM in procurement for the plant in the same IMG area (activate QM in procurement).
  5. 5Open the material in MM02, QM view, and tick 'QM proc. active' for the plant. Then set a valid QM control key.
  6. 6If the vendor is involved, check the QM data on the vendor and the source list or info record (QI01 for quality info record) for any requirement.
  7. 7Retry the goods receipt or purchase order. Transport the customizing to production and not just the material change.

What the QM procurement key controls

The QM procurement key defines the quality requirements that apply when a material is procured: whether the vendor needs a QM system, whether a quality assurance agreement is required, and whether the material is blocked for procurement until those requirements are met.

In the material master QM view, 'QM proc. active' activates quality management in procurement for the material and plant. The QM control key (distinct from the procurement key) defines which procurement-related actions apply, such as an inspection at goods receipt or a certificate requirement.

If the plant is not activated for QM in procurement, or the key does not exist in the client, material and plant data cannot be saved or used in PO or goods receipt.

Why the key is missing

The commonest causes are a transport that included the material master change but not the customizing, a new client or system copy where the IMG settings were not carried across, and a plant created after the QM configuration was done.

Another cause is a key that was deleted or never defined for a particular key value, for example copied from the legacy system through a migration load. Check that all key values in the migrated data exist in customizing before loading.

Check that the master data is in sync with the quality system. A recently activated plant may still lack a QM control key for existing materials.

SPRO > Quality Management > QM in Logistics > QM in Procurement > Maintain QM Procurement Key
SPRO > Quality Management > QM in Logistics > QM in Procurement > Activate QM in Procurement
MM02 Material master > QM view > QM proc. active, QM control key
QI01 Create quality info record

Verifying the fix

After defining the key, display the material in MM03 for the plant and check the QM view. Create a test PO (ME21N) and post a goods receipt (MIGO). If the control key triggers an inspection, an inspection lot should appear.

If the system still complains, check client-specific settings: customizing can be client dependent. A test in client 100 does not help if your issue is in client 200.

For a mass of materials, use a mass change (MM17 or a LSMW/migration cockpit run) to set the QM fields, and verify with a table query on the QM fields instead of opening each material.

Common pitfalls

  • !Fixing the material master without defining the key in customizing.
  • !Activating QM in procurement for a plant but not setting a control key on materials.
  • !Testing in the wrong client.
  • !Forgetting that transports of master data and customizing arrive separately.
  • !Loading migrated materials with key values that do not exist in the target.

How an ERP-grounded AI assistant handles this

This is a classic 'which of the 4,000 materials is wrong' problem. A grounded assistant can query the QM view data against the defined keys and list every material and plant using an undefined key, then group by cause. Netray can run that against your SAP database on your own infrastructure, read-only, so the finding comes with the query it used and you decide the correction.

Frequently asked questions

What is the QM procurement key in SAP?

It is a customizing key that defines quality requirements for procuring a material, for example whether a vendor needs a QM system or a quality assurance agreement. It is referenced from the QM view of the material master.

Where do I activate QM in procurement for a plant?

In SPRO under Quality Management > QM in Logistics > QM in Procurement there are nodes to define the key and to activate QM in procurement at plant level. The exact labels vary slightly by release.

What is the difference between the QM procurement key and the QM control key?

The procurement key sets the quality requirements for the vendor and procurement. The QM control key decides which actions occur, such as inspection at goods receipt or certificate requirement.

Why does the error appear only in production?

Usually the customizing transport did not reach production or was imported to a different client. Compare the entries in both systems and re-transport.

SAP QM: Inspection Lot Not Created at Goods Receipt

An inspection lot is created only when QM is active for the plant, the material has an active inspection type for the goods movement, and the material carries a QM control key. Check the Quality Management view in MM02, confirm inspection type 01 (purchase order) or 04 (production order) is active, then check QM activation in the plant and the goods movement used.

How to Create an Inspection Method in SAP QM (QS31)

An inspection method describes how a characteristic is to be inspected, for example with a micrometer or a visual check, and holds the instructions. Create it with QS31 for a plant, set the status and version, write the text, and assign it to a master inspection characteristic (QS21) or directly in an inspection plan characteristic.

How-to

SAP QM Sample-Drawing Procedure: Setup and Use (QPV1)

A sample-drawing procedure defines how physical samples are taken for an inspection: how many, in which containers, and what they are used for. Create it with QPV1, then reference it from the inspection plan (or material and inspection setup), so that when a lot is created the system generates the physical sample records, which you can also create manually with QPR1.

Error fix

SAP M7 021: Deficit of SL Stock Quantity

M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.

Error fix

SAP IDoc Status 51: Application Document Not Posted

Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.

Error fix

SAP Short Dump TIME_OUT: Maximum Runtime Exceeded

A TIME_OUT runtime error means a dialog (or RFC) work process ran longer than the maximum allowed runtime, controlled by profile parameter rdisp/max_wprun_time (600 seconds by default). The fix is almost always to move the long-running work to background processing or tune the underlying program, not to raise the timeout.
