SAP QM in Procurement Setup Checklist

QM in procurement links purchasing, warehouse and quality. A single missed setting in the material master or vendor data can stop lots from being created. Use this checklist to cover each layer.

Go live and monitoring

Aim to complete every critical item before go live. Anything not ticked is a risk to review with quality and the warehouse.

Want a data completeness check?

We can run a read only check of QM views and vendor data against this checklist.

Optional. The tool and every export work without this. No spam.

How to use the checklist

Work through each group in order, from plant settings to go live. Mark items done as you test them in a sandbox. Items flagged as critical are those that most often cause missing inspection lots or stock stuck in inspection. Export the result and attach it to your project documentation, with the owner and date for each open item.

How QM in procurement works

When a goods receipt is posted against a purchase order, SAP checks whether QM in procurement is active for the plant and the material. If so, an inspection lot is created using the inspection type and the plan or specification found. The QM control key decides whether inspection is mandatory and whether certificates or vendor release are checked. Stock sits in quality inspection until the usage decision moves it.

  • Plant level activation and QM control key
  • Material master QM view with inspection type 01
  • Vendor release and quality assurance agreement checks
  • Usage decision moves stock to unrestricted, blocked or scrap

Common mistakes

Frequent problems are setting the QM view in only one plant, leaving the inspection type inactive, having no plan with the correct usage, and mixing up the vendor release logic. Another trap is partial deliveries: each goods receipt can create a new lot, which changes workload for the inspector. Test with partial deliveries and returns before go live.

  • QM view maintained in the wrong plant
  • No plan with usage Goods receipt
  • Vendor release status blocking all POs unintentionally
  • Partial deliveries creating more lots than staff can handle

Frequently Asked Questions

Where is QM in procurement activated?

It is activated per plant in customizing (SPRO, Quality Management, Quality Planning, Basic Settings) and then per material in the QM view. Your menu path can differ by release, so confirm in your system.

What is a QM control key?

A QM control key defines how QM in procurement behaves for a material, for example whether inspection is required before goods receipt and whether a certificate is needed. It is set in the material master and customizing.

What is vendor release for QM?

It lets you block or release a supplier for a material from the quality point of view. Settings come from the quality info record and can stop POs or goods receipts when a release is missing.

How do I reduce inspection effort for trusted suppliers?

You can use dynamic modification rules and skip logic, or rely on supplier certificates. Document the rules and the review process so changes are controlled.
