What Is NetSuite Saved Search?

Also known as: saved search, NetSuite search, SuiteAnalytics saved search

Definition

A NetSuite saved search is a stored query over a record type, such as transactions or items, defined with criteria, result columns, filters and formulas. It powers lists, dashboard portlets, email alerts, mass updates and SuiteScript lookups.

NetSuite Saved Search Explained

Saved searches are NetSuite's most-used reporting tool. You pick a record type (Transaction, Item, Customer, Work Order and others), set criteria such as status or date range, choose result columns, and optionally add summary grouping and formula fields written in SQL-like syntax. The result can be shown as a list, a dashboard portlet, a scheduled email, or exported to CSV.

Searches can be driven by scripts. SuiteScript's N/search module runs the same definitions programmatically, and the newer N/query module (SuiteQL) offers a SQL-style alternative with joins. Saved searches also feed reminders, KPI scorecards, and mass update or mass delete jobs, so a badly built search can change data at scale.

Limits matter. Large result sets can time out in the UI, formula text has length limits, and searches with many joins slow down. Teams typically keep a library of searches by function: open purchase orders past due, items below reorder point, work orders awaiting components, and unbilled receipts.

Why It Matters

  • Most day-to-day NetSuite reporting is done in saved searches, so they hold undocumented business logic that has to be understood before a migration or AI rollout.
  • Searches act as a ready-made, role-aware data layer: an AI assistant can reuse them to answer questions without bypassing permissions.
  • Mass updates driven by saved searches are a common way data errors spread, so control over who can edit them is a governance point.
  • Slow or duplicated searches degrade dashboard load times and are a frequent cause of user complaints.

In Practice

A planner builds a saved search on the Item record, with criteria Quantity Available less than Reorder Point and Preferred Vendor is not empty, then adds a formula column for days of cover (available divided by average daily usage). Scheduled to email every morning, it replaces a manual spreadsheet check and highlights roughly the 20 items needing action first.

Frequently Asked Questions

What is the difference between a saved search and a report in NetSuite?

Reports are built from predefined financial and operational templates. Saved searches query records directly with custom criteria and columns, which makes them more flexible for operational lists and alerts.

Can saved searches be used by scripts?

Yes. The N/search module can load a saved search by ID and run it, so scripts and integrations can reuse the same logic business users maintain.

What is SuiteQL?

SuiteQL is NetSuite's SQL-style query language available through N/query and the REST API. It supports joins that saved searches handle awkwardly.
