Why Customers Ask and When It Pays Back
Many OEM and prime supplier approval processes require ISO 9001 from suppliers, and some marketplace and directory buyers filter on it. Certification can open RFQs you would otherwise be excluded from, and the discipline of corrective action, document control and calibration reduces repeat mistakes. It is not magic: registrar fees, internal time and audit prep are real costs, and if your customers do not ask for it and your quality is already good, the return may be small.
Look at your lost RFQs and customer requirements first. If you are repeatedly excluded for lack of certification, the decision is easy.
What Auditors Expect From a Contract Manufacturer
ISO 9001 is process-based rather than prescriptive, so you decide how to meet the requirements and then prove you follow your own system. Auditors typically sample evidence on contract review, purchasing and supplier control, production control, inspection and test, control of nonconforming product, calibration, corrective action, internal audit and management review. For build-to-print work, contract review means showing that you confirmed the PO matches the drawing revision and requirements, and that customer property such as drawings and supplied material is controlled.
- Controlled documents: procedures, work instructions, current drawing revisions
- Records: travelers, inspection results, certificates of conformance, material certs
- Calibration: gauge list, due dates, traceability to standards
- Nonconformance and corrective action with root cause and closure
- Internal audits and management review minutes
A Realistic Path From Zero to Certified
Start with a gap assessment against the standard, ideally with help from an MEP center or consultant. Map your processes, write only the procedures you will actually follow, set a quality policy and measurable objectives such as on-time delivery and scrap rate, and train people. Run the system for a few months so you have records, perform an internal audit and management review, then schedule a stage one and stage two audit with an accredited registrar.
Keep documentation lean. Small shops that copy a large company's manual often fail because they cannot follow it, and auditors will test what you wrote.

How ERP and Digital Records Reduce Audit Pain
Much of the pain is finding records. If your ERP or quality system holds work orders with routing sign-off, lot and material traceability, inspection results, nonconformance reports and supplier approvals, an auditor's sample request takes minutes instead of days. Systems like ProShop, E2, JobBOSS and SyteLine can hold these records, though configuration and discipline matter more than the product.
Avoid splitting records across paper, email and several spreadsheets. Decide where each record lives, control access and back it up, and define retention periods that match customer and regulatory needs.
Where AI Can Help and Where Humans Must Stay Accountable
A private AI assistant can answer audit questions over your records, such as which jobs used a given material heat number, which gauges are due for calibration, or which corrective actions remain open, and it can draft procedure updates for review. It must not create or alter quality records on its own, and a person has to approve anything that enters the system of record. For a very small shop with one or two customers who do not require certification, a good informal system and customer-specific agreements may be enough for now.
Frequently asked questions
How long does ISO 9001 certification take for a small shop?
Commonly several months from gap assessment to certificate, depending on how mature your processes are and how much time staff can commit. You need a period of operating records before the registrar audit. Starting from scattered paper records takes longer than formalizing a system you already follow.
Does an MEP center help with ISO 9001?
Many MEP centers offer quality system support, including gap assessments, training and help documenting processes. They do not issue certificates. Certification comes from an accredited registrar after a stage one and stage two audit. Costs and available programs vary by state.
Is ISO 9001 required to sell to defense or aerospace primes?
Not universally, but many primes require it or its sector standard, AS9100, for approved suppliers, and some contracts require specific quality clauses regardless. Check customer supplier requirements and flow-downs in your RFQs before deciding what to pursue.
Netray can set up a private assistant to search your work orders, certs and inspection records for audit prep. Bring a recent customer audit request and we will show how it would be answered.
