Supplier Tax Compliance Document Request Letter Template
Setting up a new supplier is where many tax problems begin: the wrong legal name, an unregistered supplier charging VAT, or a bank account that belongs to someone else. This letter gives procurement a clear, polite request for the documents finance needs before the vendor is created or paid in the ERP.

Purpose
Kilimanjaro Precision Components Ltd is setting up Savanna Steel Traders (Pty) Ltd as a supplier. We expect annual purchases of about USD 150,000. Before we create the supplier record and release payments, our finance policy requires the documents listed below. These help us apply the correct tax treatment, validate invoices and meet our own compliance obligations.
Please send the documents by 2026-11-03 to vendors@example.com. If a document does not apply to you, please tell us why.

Data use and next steps
We will use the information only to onboard and pay you and to meet legal obligations, and we will keep it as our retention policy requires. Please notify us promptly if your tax status, bank details or legal name change. We cannot release payments until the documents are reviewed.
Thank you for your help.
Approvals
This is a starting point, not legal advice. Which documents are lawful to request, how long you may keep them and what a clearance certificate is called differ by country, so have your legal or tax adviser review the final wording. Do not ask for more personal data than your policy and local data protection law allow.
Audit your vendor master for missing documents
Optional: a read only review of vendor records for missing tax IDs, expired certificates and bank changes.
Optional. The tool and every export work without this. No spam.
How to use the template
Fill in the buyer and supplier details, choose the supplier's country, set the reply deadline and add any extra requirements. The letter updates as you type and exports to Word or PDF. Send it before the first purchase order is released, not after the first invoice arrives. Save the supplier's replies against the vendor record so that auditors and tax inspectors can see what you checked and when.
Why these documents
Tax registration proves the supplier exists in the tax system and shows the exact legal name and ID for invoices. A VAT certificate supports your input tax claim. A tax clearance or compliance certificate, where the authority issues one, shows the supplier is up to date with filings, which many public and corporate buyers require. Bank confirmation reduces payment fraud. A sample invoice lets your accounts payable team learn what a valid invoice looks like in that country.
Connecting it to the ERP
Map each document to a field or attachment on the vendor record. Store the tax ID, the VAT number, the certificate expiry date and the bank details separately, and block payment when a mandatory field is empty or a certificate has expired. Use a vendor change workflow with a second approver for bank detail changes. A scheduled report of expiring certificates helps procurement chase renewals before they cause payment holds.
- Store expiry dates as data, not only as attachments.
- Require second approval on bank detail changes.
- Run a monthly expiring certificates report.
Common mistakes
Common mistakes are collecting documents but not recording the data, accepting copies of expired certificates, and asking every supplier for the same pack regardless of risk. Match the depth of checks to spend and risk, with a lighter route for small one-off suppliers. Also confirm that the name on the bank letter, the invoice and the registration all match.
Frequently Asked Questions
Is a tax clearance certificate available in every country?
No. Some revenue authorities issue clearance or compliance certificates, such as South Africa's tax compliance status and Kenya's tax compliance certificate. Others do not. The letter asks for it where the authority issues one.
Can I send this to every supplier?
You can, but match the request to risk and spend. Small one-off suppliers may need only registration and bank confirmation, while strategic suppliers justify the full pack and periodic refresh.
How long should I keep the documents?
Follow your retention policy and local law. Tax records often must be kept for several years, while personal data of directors should be kept no longer than needed. Ask your legal adviser for your country.
What if the supplier will not provide a document?
Escalate to procurement and finance. Consider whether the supplier is in an exempt category, whether another document can substitute, or whether the risk is acceptable. Record the decision on the vendor file.
