Supplier Compliance Data Request

From: Northfield Electronics Inc. Attention: Dana Whitaker, Product Compliance Engineer To: Apex Connector Components Ltd., Quality Manager Date: 2026-10-20 Response required by: 2026-11-17

Purpose

Northfield Electronics Inc. is required to document the material and substance content of the products it places on the market. To support this, we ask Apex Connector Components Ltd. to provide current declarations for the part numbers below covering: RoHS, REACH and PFAS.

We will keep your data confidential and use it only for compliance records, customer declarations and regulatory reporting.

Response format and deadline

Please reply with a Signed PDF declaration by 2026-11-17. If you cannot meet the date or a part is not covered, tell us which part numbers are affected so we can plan alternatives. Blanket statements that do not list part numbers cannot be accepted as evidence.

This letter is a starting point, not legal advice. Adjust the regulations list to your markets and have your legal or compliance lead review it before sending.

Automate supplier declaration tracking

Optional: we can review how your ERP stores supplier compliance data and suggest a simple way to track expiry and renewals.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in your company, the supplier, the parts in scope and the regulations you need covered. Pick the response format you can actually ingest, because a supplier who sends a PDF when you wanted a data file will cost you hours of re-keying. Export the letter to PDF or Word, attach it to a purchase order or send it from your supplier portal. Keep a copy against each supplier record so you can show an auditor when the request went out and what you asked for.

What a usable supplier declaration contains

A declaration is only evidence if it is tied to a part number, dated and signed by a named person. Blanket company-level statements are common and weak. Ask for the exemption number when a supplier relies on a RoHS exemption, and ask for the Candidate List substance name and CAS number when REACH Article 33 information applies. For PFAS, definitions vary by jurisdiction, so ask the supplier to state which definition they used.

  • Part number level, not product family level
  • Date and revision of the declaration
  • Named signatory with title
  • Exemption numbers and expiry dates where relied on
  • A commitment to notify on composition change

Following up

Set the due date four weeks out and diary a reminder at two weeks. Escalate non-responders through the buyer, because purchasing has leverage that compliance does not. Record each reply in your ERP item or vendor-item record, or in a compliance tracker, so that a later customer request can be answered from data rather than from an email search. Review declarations at least annually and whenever a supplier changes process or source.

Common mistakes

Teams often ask for everything in one generic questionnaire, which suppliers answer with a brochure. Keep the request short and part-specific. Another mistake is accepting a declaration older than the part revision. Treat any engineering change to the part as a trigger to re-request. Finally, do not let the letter replace a flow-down clause: put the declaration obligation in your purchase order terms as well.

Frequently Asked Questions

Is a supplier declaration the same as a test report?

No. A declaration is the supplier's statement of compliance, while a test report is analytical evidence. Many programs accept declarations for low-risk parts and ask for test reports on high-risk materials or when something changes. Decide per commodity which evidence you need.

How long should suppliers have to respond?

Four weeks is a common and fair window for a part-level declaration. Shorter dates tend to produce generic answers. Send a reminder at the halfway point and escalate through purchasing if there is still no reply.

Can I use this letter for customer requests too?

It is written for requests to your suppliers. For customer requests you are the one declaring, so use a declaration or certificate format instead. You can reuse the table of information items as a checklist for what to collect.

Do I need a signed letter?

The request itself does not need a signature, but the supplier's reply should be signed or otherwise attributable to a named person. The signature block here is for your internal record of who asked and who acknowledged.

If your supplier declarations live in email and spreadsheets, we can help you pull them into your ERP item master and answer customer requests from the data.
