Standard Costing in Business Central: Setup, Expected Cost and Variances

Question
standard costing in business central

Also searched as

  • expected cost business central
  • business central costing methods
  • business central standard cost worksheet
  • business central variance standard cost

Short answer

Business Central supports FIFO, LIFO, Specific, Average and Standard costing, chosen per item. With Standard, inventory is valued at the item's Standard Cost, and differences against actual purchase prices or production costs post as variances. Expected cost is the provisional cost recorded at receipt or shipment before the invoice, then replaced by actual cost.

Applies to: Business Central online and on-premises. Page and field names can vary slightly by version and localization.

Set up standard costing

  1. 1Decide the costing method per item. On the item card choose Costing Method Standard. Changing it on an item with entries has restrictions, so decide before posting.
  2. 2Open Inventory Setup and review Automatic Cost Posting, Expected Cost Posting to G/L and Automatic Cost Adjustment.
  3. 3Set the Standard Cost on the item card, or use the Standard Cost Worksheet to calculate it for many items.
  4. 4For manufactured items, in the Standard Cost Worksheet run Suggest Item Standard Cost and Suggest Capacity Standard Cost, then Roll Up Standard Cost to compute the cost from the BOM and routing.
  5. 5Review proposed costs and run Implement Standard Cost Change. This revalues inventory by posting revaluation entries.
  6. 6Post receipts, invoices and production output. Variances post on the difference between actual and standard.
  7. 7Run Adjust Cost - Item Entries and Post Inventory Cost to G/L regularly, or automate with Automatic Cost Adjustment.

Costing methods in short

FIFO and LIFO value inventory by the order of receipts, Specific tracks cost by lot or serial number, Average uses a moving average calculated per item or per item, location and variant over a period, and Standard uses a fixed predetermined cost. The method determines how outbound entries get their cost, and with the first four the system adjusts cost entries retroactively when invoices change prices.

Standard costing is common in manufacturing because it makes planning and margin analysis stable: product cost does not move with every price fluctuation, and the gap shows up as an explicit variance that management can investigate.

Standard Cost Worksheet and rollup

The Standard Cost Worksheet is where you propose, review and implement standard cost changes. For purchased items, you set the new value manually or from last direct cost. For manufactured items, rollup computes cost from component standard costs plus capacity cost (setup and run time at the work center or machine center rates) plus overhead, following the BOM levels.

Implementing a change posts revaluation entries so the inventory value in the general ledger matches the new standard cost times the quantity on hand. That is why changes are typically implemented at period start, with a clear approval, not mid-month by habit.

Variances

Purchase variances come from invoicing at a price different from standard. Production variances are split into material, capacity, subcontracted, capacity overhead and manufacturing overhead variances, produced when the production order is finished and costs are adjusted. They are tracked on value entries by variance type and posted to variance accounts in the inventory posting setup.

Investigate variances by comparing the production order actual cost against its standard line by line. Large material variances suggest BOM quantities or scrap are wrong, while capacity variances point to routing times that no longer match reality. Updating the standard at the next review closes the loop.

Expected cost vs actual cost

When you ship or receive before the invoice, Business Central records expected cost on value entries so inventory and COGS can be reported before invoicing. With Expected Cost Posting to G/L turned on, these amounts post to interim accounts (the interim inventory and accrual accounts configured in the posting setups) and are reversed when the invoice posts the actual cost.

If you leave it off, expected costs appear on item ledger and value entries but not the general ledger until invoiced, so the books show nothing for received-not-invoiced goods. The setting is a finance decision: it gives a more accurate balance sheet at the price of extra accounts to reconcile.

Common pitfalls

  • !Changing the costing method on an item that already has entries without understanding the restrictions.
  • !Implementing standard cost changes mid-period without an approval and a revaluation plan.
  • !Never rolling up standard costs after BOM or routing changes, so variances grow until they are meaningless.
  • !Forgetting to run Adjust Cost - Item Entries and Post Inventory Cost to G/L before closing the period.
  • !Turning on Expected Cost Posting to G/L without configuring the interim accounts.
  • !Treating every variance as an error rather than as a signal about BOM, routing or price assumptions.

How an ERP-grounded AI assistant handles this

Variance analysis is a read-only question over value entries and production orders. A private assistant on your Business Central data can rank items by variance, show which component or operation drove it, and compare actual BOM usage to the standard. It does not post revaluations or change standard cost, finance reviews and implements those in the worksheet.

Frequently asked questions

What costing methods does Business Central support?

FIFO, LIFO, Specific, Average and Standard. The method is set per item. Standard values stock at a fixed predetermined cost and posts differences as variances, while the others value stock from actual receipt costs.

How do I update standard cost for many items?

Use the Standard Cost Worksheet. Suggest or roll up the new costs, review them, and run Implement Standard Cost Change, which posts the revaluation. Do it at a controlled time such as period start and keep the approved worksheet as an audit record.

What is expected cost in Business Central?

Expected cost is the provisional cost recorded on a receipt or shipment before the invoice arrives. When the invoice is posted, it is replaced by actual cost. Posting expected cost to the general ledger needs the setting enabled and interim accounts configured.

Why do I have purchase price variances with standard cost?

Because the invoice price differs from the standard cost on the item. The difference is posted as a purchase variance, which is how standard costing exposes price changes. Update standard cost at the next review if the new price is permanent.

Error fix

Business Central: "You have insufficient quantity of Item on inventory"

Business Central raises this error when posting would take an item negative and Prevent Negative Inventory is switched on, either globally in Inventory Setup or on the item card. The usual root causes are a different location or variant than you expect, an earlier posting date, receipts not yet posted, or lot or serial numbers that are not available. Check the item ledger for the exact combination before changing the setting.

Error fix

Business Central: "Select a Dimension Value Code for the Dimension Code"

Business Central stops the post because a Default Dimension for an account, customer, vendor or item has Value Posting set to Code Mandatory, and the document has no value for that dimension. Either supply the dimension value on the line or header, or change the Value Posting rule if the requirement is wrong. Dimension combinations and priorities can produce similar-looking blocks.

Error fix

Business Central: "Posting Date is not within your range of allowed posting dates"

Business Central blocks the posting because the document's Posting Date falls outside the Allow Posting From / Allow Posting To window. The window is read from the user's own row in User Setup first, and from General Ledger Setup only when the user row is empty. Fix the date on the document, or widen the right window, or change your work date if the wrong default was applied.

Error fix

Fixing "Cannot create a record in (table). The record already exists" in D365 F&SCM data entity imports

This is the standard kernel duplicate-key exception, thrown when the Data Management Framework tries to insert a staging row into a target table whose unique or alternate key already matches an existing record. It almost always means the entity's insert-vs-update logic did not recognize the target row as an update, not that you have a true accidental duplicate in your source file.

Error fix

Fixing "There are currently no batch servers available for processing" in D365 F&SCM

This message means the batch framework cannot find any AOS instance flagged as a batch server and available for the batch group the job is assigned to. The fix is almost always in server configuration (System administration > Servers) or batch group assignment, not in the batch job itself.
