Chemical Certificate of Analysis (CoA) Template

A certificate of analysis tells a customer exactly what was tested on a lot and whether it met the agreed specification. This template gives QC teams a consistent layout they can fill, export and attach to shipments.

Storage and Handling

Store in closed, compatible containers away from acids and metals such as aluminium. Refer to the Safety Data Sheet for handling and transport information.

Replace the example tests and limits with the specification agreed with your customer. Do not issue a CoA for values that were not measured on the lot. The example limits are illustrative only.

CoA generation from ERP inspection data

Optional: discuss producing CoAs automatically from lot inspection results in your ERP.

Optional. The tool and every export work without this. No spam.

How to use it

Enter the lot, customer and shipment details, export the document, then record measured results in the test table or edit the rows before export. Keep one CoA per lot and per customer shipment, referencing the PO. Change the example tests to the list in your customer specification and cite the test method used, such as an ASTM, ISO or in-house method number. The conclusion line should reflect the real outcome, and only an authorised person should sign it.

What a CoA must show

Customers and auditors expect traceability and clarity. Missing fields are the most common reason a CoA is rejected at receiving inspection.

  • Product name, code and lot number matching the label
  • Manufacture date and retest or expiry date
  • Each test, method, specification limit and actual result with units
  • Conclusion against specification
  • Name and signature of the authorised releaser, and date
  • Manufacturer name and address

Specification versus typical values

Report actual measured results for the lot, not typical values from the data sheet. Where a limit is one-sided, such as maximum moisture, show the limit exactly. When a value is below the detection limit, state it as less than the detection limit rather than zero. Rounding should follow the specification's own precision, so a limit of 0.05 should not be reported as 0.0512 unless that precision is meaningful.

Common mistakes

Typical errors are copying last lot's results, missing units, mismatched lot numbers between CoA and label, signing before all tests complete and issuing a CoA with an outdated specification revision. Link CoA generation to your quality inspection results where possible, so numbers come straight from the lab record.

Frequently Asked Questions

Is a CoA the same as a certificate of conformance?

No. A CoA lists measured results for a specific lot. A certificate of conformance states that product meets requirements without necessarily listing results. Some customers want both.

Who can sign a CoA?

Only a person authorised by your quality system, typically the QC manager or designee. The authorisation should be documented and the signer must not be certifying work they cannot verify.

Do I need a CoA for every shipment?

Customers set that in their purchase terms. A single lot split across several shipments can often share one CoA, but each delivery should reference the lot clearly.

Can the CoA include customer-specific tests?

Yes. Add the rows to the test table and cite the method. Make sure the tests were actually performed on that lot and that the method matches the agreed specification.

Netray can help generate CoAs directly from inspection results stored in your ERP or LIMS, with a review step before release.
