Drawing Release Package Transmittal Template

A transmittal turns a bag of files into a controlled release. It records what was sent, at which revision, to whom and for what purpose, and it gives the supplier a clear instruction to retire superseded drawings.

Add your own export control or proprietary markings as required by your contracts. If the drawings contain controlled technical data, check distribution limits before sending. This is a starting form, not legal advice.

Link drawing revisions to purchase orders

Optional: we can review how an agent could flag revision mismatches between PLM and ERP.

Optional. The tool and every export work without this. No spam.

How to use the transmittal

Fill in the header with a unique transmittal number, then list each drawing with its revision. Use the purpose field to separate quoting from production releases, since suppliers must not build to a quote-stage revision. Export the PDF, attach it to the email or portal upload and keep a copy in the document record.

  • Always list the superseded revision when sending a revised release.
  • Name the file formats, since PDF and native model files can differ.
  • Request a written acknowledgement with a date.
  • Keep one transmittal number per package for traceability.

Why it matters for quality

Wrong-revision builds are a classic cause of scrap and escapes. Standards such as AS9100 and ISO 9001 expect documents to be controlled and available at the point of use at the correct revision. A transmittal with an acknowledgement is simple proof that the supplier received the current version.

Transmittal and your ERP

Match the drawing revisions on the transmittal to the revision on the purchase order lines or work order. If the ERP still points to the old revision, the buyer may issue the wrong documents later. Treat the transmittal as part of the change implementation checklist.

Common mistakes

Sending files by email without a list, forgetting to mark old revisions as obsolete, and mixing quote and production purposes are frequent errors. Another is sending editable native files when only a PDF is intended. Be deliberate about formats.

Frequently Asked Questions

Do I need a transmittal for every drawing revision?

For anything sent outside your company or to a controlled area such as the shop floor, yes, it is good practice. Internal revisions inside a PLM may rely on the system's own release record instead.

What should the transmittal number look like?

Any unique, sequential format works, such as TR followed by the year and a counter. Uniqueness and traceability matter more than the pattern itself.

How do I handle export controlled drawings?

Check your export control procedure before sending, mark the documents as required and confirm the recipient is authorised. The transmittal form alone does not make a transfer compliant.

Can suppliers sign electronically?

Yes, an emailed confirmation naming the transmittal number and revisions is usually sufficient, unless your contract requires a formal signature.

We can help connect drawing revision data to purchase orders so mismatches are flagged automatically, read-only over your ERP.
