Engineering Drawing Release Request Template

A drawing should not reach the shop floor until someone other than the author has checked the revision, the datum scheme and the tolerances. This template gives that check a single page that you can attach to the ECN or the PLM record.

Pre-release checks

CheckStatusReviewer initials
Title block, revision table and scale correct
Datum reference frame defined and consistent

Adapt the check list to your own quality procedure. Release in the ERP and PLM only after all signatures are in place and the previous revision effectivity date is set.

Automate drawing release into your ERP

Optional expert review of how revisions flow from PLM to your ERP item master and BOM.

Optional. The tool and every export work without this. No spam.

How to use the release request

Fill in the drawing number, revision and change summary, pick the release type, then print or export the page. Walk through the pre-release table with the design, manufacturing and quality reviewers and collect initials. Attach it to the engineering change record so the evidence of review stays with the revision. The affected parts field is what lets planning decide whether open work orders must be reworked.

What a good release check covers

The checks mirror what typically goes wrong after release: missing datums, tolerances that the process cannot hold, outdated revision tables and BOMs that still point at the old part revision. The GD&T status picker forces the reviewer to state whether findings were open or closed, rather than leaving a silent assumption.

  • Revision letter and revision table agree with the PLM record
  • Every toleranced feature references a datum or a size
  • Critical characteristics are flagged for the inspection plan
  • ERP item revision and BOM effectivity are updated on the same day

Common mistakes

The most common failure is releasing the drawing in PLM while the ERP item master still carries the old revision, so purchasing and the shop keep ordering to the superseded print. Another is treating the release request as paperwork after the fact. Do the review before the status changes to Released, and record who did it.

Frequently Asked Questions

Who should sign a drawing release?

At minimum the design owner, a manufacturing engineer who confirms the part can be made to the tolerances, and quality who confirms it can be inspected. Many companies add document control as the person who actually changes the status.

Is this form a substitute for an ECN?

No. The ECN or ECO records why a change is made and its impact. This form records that the resulting drawing was reviewed before release. They are usually attached to each other.

Does the template meet AS9100 or ISO 9001?

It supports the document control and design output review expectations in those standards, but your own procedure defines the required evidence. Treat it as a starting point and align fields with your quality manual.

Can I add my own checks?

Yes. Export to Word and edit the table rows, or keep the generated page as a base. Add industry items such as export control marking or customer-specific notes.
