EDI VAN vs AS2 Cost Comparison Calculator

VAN billing scales with data volume while AS2 is mostly a flat cost, so the right choice depends on how many documents you move. This calculator compares both models and shows the break-even volume.

Your numbers

docs

Count both inbound and outbound interchanges that cross the VAN.

KC

Kilocharacters per document including envelope. Use the size calculator in the related tools if unsure.

$/KC

Check your VAN invoice. Many contracts have tiered or volume bands.

$/month

Monthly minimum, mailbox, interconnect and support fees.

partners

Partners you would connect directly or through a hosted AS2 service.

$/month

Hosted AS2 service, server, certificate and monitoring cost.

$/month

Certificate renewals, retest effort and support allocated per partner.

$

Partner retesting, profile changes and project hours.

How to use the calculator

Pull twelve months of VAN invoices and average the monthly document count and kilocharacters. Enter your VAN rate per KC and fixed fees, then estimate AS2 cost as a hosted service or internal server plus a small per-partner allowance for certificate renewals and retesting. The results show monthly and annual savings, payback on the migration, and the document volume where the two lines cross on the chart.

  • Use inbound plus outbound volume, not just one direction
  • Include interconnect charges if partners use a different VAN
  • Add partner retest effort to the one-time migration cost

The model behind the numbers

VAN cost is documents times kilocharacters per document times the rate per KC, plus fixed fees. AS2 cost is a platform cost plus partners times a per-partner upkeep figure. Break-even documents equal the AS2 cost minus the VAN fixed fee, divided by KC per document times the rate. Because AS2 cost barely moves with volume, high-volume shops with many large documents usually win by leaving the VAN, while low-volume shops with many small partners often do not.

Reading the result

A payback under twelve months is usually an easy decision if partners can support AS2. Many retailers and large OEMs already accept AS2, but small suppliers may only offer a VAN or SFTP, so you may run both. Look at the chart: if you sit well below the crossover, stay on the VAN and negotiate the rate instead. If you sit near it, volume growth should decide the timing.

Common mistakes

The usual errors are ignoring partner retest effort, forgetting that some partners will never move off a VAN, and using billed KC that includes 997 acknowledgments without counting them in the AS2 case. Also check whether your VAN contract has a minimum commitment that continues after migration, since that reduces the first-year saving.

Frequently Asked Questions

What is a kilocharacter and why do VANs bill on it?

A kilocharacter is 1,000 characters of transmitted data. VANs historically billed on volume because storage and forwarding capacity was the scarce resource. Larger documents with many line items cost more, which is why the size of each document matters in this comparison.

Is AS2 always cheaper than a VAN?

No. At low volume or with many partners that each need separate setup, a VAN can be cheaper and simpler. AS2 wins when volume is high, documents are large, or you want faster delivery with receipts through MDN.

Do I still need a VAN after moving to AS2?

Often yes for a few partners. Some small suppliers and legacy customers only support a VAN, so many companies run AS2 for large partners and keep a VAN with a lower tier for the rest.

What does the payback figure exclude?

It excludes ongoing risk such as certificate expiry outages, staff time to monitor AS2 endpoints, and any VAN exit fees. Add those to the one-time or monthly inputs if they apply to your contract.
