EDI Document Size and VAN Kilocharacter Calculator

VAN billing and file transfer capacity depend on document size, which comes from the number of line items and segments. This calculator estimates size from structure so you can plan volume and cost before a partner goes live.

Your numbers

25 lines

Average PO1, IT1 or LIN loops per document.

segments

For example PO1, PID, REF and DTM is four.

segments

ST, BEG, REF, DTM, N1 loops and similar before the detail.

segments

CTT and SE for an 850.

chars

Includes element separators and the segment terminator.

chars

ISA is 106 characters, plus GS, GE and IEA.

Get your EDI volumes reported

We can show how to report documents, size and errors by partner from your translator logs. Optional.

Optional. The tool and every export work without this. No spam.

How to use it

Open a sample of recent documents for the transaction set and count the header segments, the segments inside one line item loop and the trailer. Measure the average length of a segment by dividing file characters by segment count. Enter an average line count and your daily volume. The tool returns characters per document, kilocharacters, monthly volume and VAN usage charge.

  • Measure segments from real files rather than the guide
  • Use an average line count, not the maximum
  • Add 997 volume as a separate row of documents

How size is built up

An X12 document is the envelope plus segments. Segments equal header, plus lines times segments per line, plus trailer. Characters equal the envelope plus segments times average segment length, and a kilocharacter is 1,000 characters. The ISA segment is a fixed 106 characters, which is why small documents like a 997 are dominated by the envelope.

Reading the result

Line count is the main driver, as the chart shows: doubling the lines roughly doubles the size. Large 856 documents with pack and item hierarchies grow fastest, because each carton and item adds segments. Use the monthly kilocharacter figure to check your VAN invoice, and use the megabyte figure to size SFTP or AS2 storage and retention.

Common mistakes

People often forget the envelope, use the longest document instead of the average, or leave out acknowledgments. Some VANs round each interchange up to a minimum size, which makes many tiny documents cost more than the raw characters suggest. Check your contract for minimums and rounding.

Frequently Asked Questions

How big is a typical X12 850?

It depends on line count. A document with a dozen lines is often around a few thousand characters, while one with hundreds of lines can run to tens of thousands. Measure your own files to get a reliable average.

Why is the ISA segment 106 characters?

The ISA interchange header has fixed-length elements by definition, and that makes it exactly 106 characters including the segment terminator. The rest of the envelope, GS, GE and IEA, is variable but short.

Does compression change VAN billing?

Most VANs bill on the uncompressed EDI characters you submit, though some offer compression options. Compression helps transfer time and storage, but check your VAN terms before expecting a lower bill.

Should I include 997s?

Yes, if your VAN bills for them. Add them as extra documents with a small average size, since each acknowledgment carries its own interchange envelope.

If you want document volumes and size by partner reported from your EDI logs, we can build that on your own infrastructure.
