EDI Transaction Error Rework Cost Calculator

Every EDI exception that needs a human has a cost, and small percentages add up at volume. This calculator turns the error rate into hours, FTEs and dollars so you can justify validation and mapping work.

Your numbers

docs

Inbound and outbound documents handled by your translator and ERP.

2 %

Documents that fail translation, validation, 997 rejection or ERP import.

min

Includes research, partner contact, correction and resubmission.

$/hr

Wages plus benefits and overhead for the person fixing errors.

hours

Usually 130 to 150 after meetings and leave.

0.5 %

Rate you aim for after mapping and validation fixes.

How to use it

Count documents in the translator over a month and the number that landed in an error, suspend or rejected queue. Estimate average minutes to close one, ideally by timing ten recent cases. Enter the loaded hourly cost of the person who does the work. The calculator returns monthly and annual cost, FTE load, cost per document and the saving if you reach a lower target rate.

  • Include 997 rejections and ERP import failures, not only translator errors
  • Time a mix of easy and hard exceptions
  • Use the same month for volume and error counts

The arithmetic

Exceptions equal documents times the error rate. Hours equal exceptions times minutes divided by 60. Cost multiplies hours by the loaded rate, and FTE load divides hours by productive hours per month. The saving assumes cost scales linearly with the error rate, so reaching half the rate halves the cost. Real savings can be larger when you also remove the tail of difficult cases.

What drives errors

Frequent causes are item cross-reference gaps, unit of measure mismatches between the partner and ERP, price or ship-to differences between order and acknowledgment, missing qualifiers in the map, and partners changing their implementation guide without notice. Fixing the top three causes often removes most volume, so rank exceptions by reason code before investing.

Common mistakes

Do not assume every exception takes the same time, since partner back-and-forth is far slower than a cross-reference fix. Also remember that unresolved errors can trigger chargebacks or late shipments, which are costs this tool does not include. Pair it with the chargeback calculator for the full view.

Frequently Asked Questions

What is a good EDI error rate?

There is no universal figure, but well-tuned shops often run below one percent of documents needing human touch. New partners and new maps run higher during the first weeks. Track your own trend by partner and transaction set.

What counts as an EDI exception?

Any document that fails translation or validation, is rejected by a 997 or 824, fails ERP import, or needs manual correction before it can proceed. Count each document once even if it was fixed several times.

Why model FTE load?

FTE load shows whether errors consume a meaningful share of a person. If it exceeds half an FTE, automation of validation and cross-reference maintenance usually pays back quickly compared with hiring.

How accurate is the annual saving?

It is a straight-line estimate. Actual savings depend on which causes you fix. Treat it as an upper-middle planning figure and refine it after you review a month of categorised exceptions.

If you want exception reasons ranked and tied to the maps that cause them, we can build that analysis privately over your EDI and ERP logs.
