Authorisation
A starting point for a manual or Excel-based invoice, not tax advice. Check Rule 46 of the CGST Rules, your e-invoicing threshold and your GST practitioner's advice before using it as a statutory invoice. Add extra line rows after export if you have several items.

How to use the template
Enter your own details once, then change the buyer, item and value fields for each sale. Pick IGST when the place of supply is a different state from your registered state, and CGST plus SGST when both are in the same state. The invoice number must be unique within a financial year and can use letters, digits, slash and hyphen up to 16 characters. Export to PDF for the customer and keep the Excel copy for your records.
- Use the buyer GSTIN exactly as it appears on their GST certificate
- State the place of supply as state name and code
- Keep amounts in words consistent with the figure total
What the law expects on a tax invoice
Rule 46 of the CGST Rules lists the particulars: supplier name, address and GSTIN, a consecutive serial number, date of issue, recipient details where required, HSN code, description, quantity, taxable value, tax rate and amount for CGST, SGST or IGST, place of supply, and the signature of the supplier. Suppliers above the notified turnover threshold must also generate an e-invoice with an IRN through the Invoice Registration Portal, so this manual format is for businesses below that limit or for internal drafts.
Common mistakes
The most frequent errors are charging IGST on an intra-state sale, quoting the wrong HSN length for your turnover band, and issuing a tax invoice where a bill of supply is correct, for example when you are under the composition scheme. Another is a rounding mismatch between line tax and the total. If your accounting package such as Tally Prime, Busy or Zoho Books already prints invoices, use this only as a reference to check that your print format contains every mandatory field.
Frequently Asked Questions
Is this GST invoice format valid for filing?
It contains the usual Rule 46 fields, but validity depends on your registration type and turnover. Businesses above the e-invoicing threshold must register invoices on the IRP. Confirm with your GST practitioner before relying on it.
Can I use it for exports?
Exports are zero-rated and need extra fields such as shipping bill details and the LUT or bond reference, plus currency. Use it as a base but add those lines and confirm export documentation separately.
Which HSN digits are required?
The number of HSN digits depends on your aggregate turnover band under the GST notifications. Many manufacturers print at least four or six digits. Check the current notification for your band.
What is the difference between a tax invoice and a bill of supply?
A tax invoice is issued by a registered person charging GST. A bill of supply is issued for exempt supplies or by composition dealers who cannot charge tax separately.
If invoices are still keyed twice, once in the ERP and once in a format file, we can look at generating compliant documents directly from your order data.
