GST E-Invoice IRN Tracking Log Worksheet

E-invoicing works only when every invoice gets an IRN, and failures often surface days later during a buyer query or a GSTR-1 mismatch. This log gives your accounts team one place to track each document, its IRN, its acknowledgement and whether it can still be cancelled.

Keep this log next to your ERP e-invoice interface so every failed or cancelled IRN has an owner. After 24 hours an IRN cannot be cancelled on the portal; the usual route is a credit note. The IRN is a 64-character hash, so store the full value in your ERP and only a short reference here.

Monitor failed e-invoices from your ERP

Optional review of how IRN failures are caught and retried in your ERP.

Optional. The tool and every export work without this. No spam.

How to use the log

Add one row per e-invoice, credit note or debit note. Enter the taxable value, tax, the first characters of the IRN and the acknowledgement number returned by the invoice registration portal. Update the hours since IRN so you know if the 24-hour cancellation window is still open. Failed rows should be retried the same day, because the supply and the tax point are not affected by an IRN delay.

  • Reconcile the log to your sales register weekly.
  • Do not reuse an invoice number after cancelling an IRN.
  • Archive the signed JSON and QR code with the invoice PDF.

How e-invoicing works

The seller sends invoice data in the notified schema to the Invoice Registration Portal, which returns a unique 64-character Invoice Reference Number, an acknowledgement number and date, and a signed QR code. The details flow to GSTR-1 and to the buyer's GSTR-2B. Applicability depends on aggregate turnover, and the limit has been lowered over time, so check the current notification. Invoices without a valid IRN may not be treated as valid invoices for ITC by the buyer.

Mistakes to avoid

Cancelled IRNs that are not reversed in the ERP cause duplicate numbers. Another is editing an invoice after the IRN is created, which makes the printed document differ from the registered one. Reporting time limits for older invoices have also been introduced for larger taxpayers, so do not let failed documents age. Keep a reason code for each cancellation, such as wrong GSTIN or wrong value.

  • Editing the invoice after IRN generation.
  • Printing invoices before IRN is received.
  • No owner for failed e-invoice retries.

Frequently Asked Questions

Can I cancel an IRN after 24 hours?

No. The portal allows cancellation only within 24 hours of generation, and only if no e-way bill was generated and GSTR-1 was not filed with that invoice. After that, issue a credit note or amendment as the law allows.

Is the IRN the same as the acknowledgement number?

No. The IRN is a 64-character hash generated from the supplier GSTIN, document type, number and financial year. The acknowledgement number is a sequential reference issued by the portal along with the date.

Who must use e-invoicing?

Registered persons whose aggregate turnover crosses the notified threshold in any year since 2017-18, with some exceptions such as certain financial and insurance entities. The limit has been lowered several times, so confirm with the current notification.

Does the e-invoice generate the e-way bill?

The IRN data can be used to generate the e-way bill Part A, and many ERPs do both in one call. Keep the e-way bill number in your ERP against the invoice so that dispatch and tax records agree.

If your IRN retries are manual, we can help you build a monitored e-invoice queue between your ERP and the portal.
