Main drivers

Aluminum bar price rose 7 percent versus standard from mid-month. Scrap on line 3 was above standard following a tooling change. Overtime used to meet two expedited orders.

Corrective actions

ActionOwnerDue dateStatus
Update bar stock standard at next roll-up. Tooling review on line 3 by week 2. Review overtime approval for expedites.

Use the sign convention your finance team uses and state it in the header. Variances only mean something against a current standard, so note the date of the last standard cost roll-up.

Variance commentary from ERP data

Optional: we can outline an assistant that drafts variance commentary from ERP data for your team to edit and approve.

How to use the template

Take the variance totals from your ERP's month-end cost reports and type them into the fields, one per standard variance. Add the two or three drivers that explain most of the movement, and list actions with an owner and due date. Export to PDF or Word and circulate it with the month-end pack. Keep the layout the same every month so trends are easy to see.

The six variances

Purchase price variance compares what you paid with the standard price on receipt. Material usage variance compares material issued with the standard quantity allowed for the output. Labor efficiency variance compares hours used with standard hours earned, valued at the standard rate. Labor rate variance compares the wage paid with the standard rate. Overhead spending variance compares actual overhead with budget. Overhead volume variance reflects under or over absorption when output differs from the planned base.

  • Price and rate variances are mostly external or commercial.
  • Usage and efficiency variances are mostly operational.
  • Volume variance is a planning and capacity result, not a spending problem.

Writing useful commentary

Good commentary names the item, the amount, the cause and the next step. For example: aluminum bar price rose 7 percent, adding about 38 thousand dollars of unfavorable price variance, and the standard will be updated at the next roll-up. Avoid vague causes such as higher costs. Separate one-off events from recurring ones, since recurring variances usually point to a wrong standard. Review the report in a short meeting where each action owner confirms the due date.

Common mistakes

Reports that only list numbers get ignored. Inconsistent sign conventions cause confusion between favorable and unfavorable. Large variances left unexplained for several months suggest the standards are stale. Chasing small variances wastes time; set a threshold, for example the larger of a fixed amount or a few percent of the standard, and explain only what exceeds it.

Frequently Asked Questions

What is a manufacturing cost variance report?

It is a periodic summary of the differences between actual and standard cost, typically split into price, usage, efficiency, rate and overhead variances, with explanations and corrective actions for the largest items.

How often should I run it?

Monthly at close is the minimum. Plants with volatile material prices or tight margins often review key variances weekly, especially purchase price and scrap, while leaving the full report for month end.

What is a normal variance threshold?

Many controllers explain any variance above a set dollar amount or about 3 to 5 percent of the standard cost base. Choose a level that keeps the commentary focused on what the team can change.

Why is overhead volume variance often large?

Because fixed overhead is absorbed on a planned volume. If actual output falls short of the planned base, a portion of fixed cost stays unabsorbed and shows as an unfavorable volume variance, even if spending was on budget.
