Build a schedule change approval flow in your ERP
Optional: we can review how change requests, capacity checks and approvals could be linked to your work orders.
Optional. The tool and every export work without this. No spam.
How to use the form
Fill in the job, the type of change and the current and requested dates. State the reason in business terms, such as a customer line-down risk or a material shortage. The scheduler completes the impact section: the hours needed at each work center, any overtime or outside processing, and which other jobs move and by how much. Then run the checks and collect the approvals. Export to PDF or Word and file it with the job record.
- One request per job and per change
- State the reason, not just the new date
- Quantify the capacity impact in hours
- Name every other job that moves
Why a form helps
A frozen window or time fence exists to keep the schedule stable. Changes inside it break plans for purchasing, quality and the people on the floor. Without a record, the cost of each exception is invisible and the same people expedite every week. A short form creates a trail, shows who asks for what, and gives the plant manager data when deciding how long the frozen window should be.
What to review each month
Count requests by type and by requester. A lot of expedites from one customer or sales team usually points to a quoting or promising problem. Many delays point to material or supplier trouble. Compare approved and rejected changes with on time delivery to see whether exceptions help or merely move lateness around. Share the summary at the production meeting.
Common mistakes
Approving a change without writing down which job moves back is the biggest one, because the displaced job simply becomes the next emergency. Another is leaving the requested date as the only required field. And forms that live only on paper fall out of date quickly, so enter the approved change in the system the same day.
Frequently Asked Questions
What is a frozen window?
A frozen window, or time fence, is a period near the present in which the schedule is not changed by the planning system or by people without approval. It keeps materials, tooling and labor stable for work that is about to start.
Who should approve changes?
Normally the production scheduler assesses the impact and an operations or plant manager approves. Customer service or sales signs for the commercial reason. Set the approval level by the cost and risk of the change.
Does this replace the ERP?
No. The form captures the reason, the impact and the approval. The actual reschedule is made in your ERP or scheduling tool. Keep the request number in the work order notes so the two records stay linked.
How long should I keep these forms?
Keep them with the job records for as long as your quality system or customer contracts require. Some aerospace and defense customers specify retention periods, so check your quality manual.
If change requests currently travel by email and phone, we can help build an approval flow that reads capacity and open orders from your ERP and records the decision against the work order.
