SAP Business One Implementation Cost Calculator for Manufacturers

People searching for the cost of SAP Business One rarely find a number, because it depends on users, services and hosting. This calculator turns your own quotes into a first-year and three-year view, so you can compare partners and set a budget with contingency.

Users who need full access, such as finance, planning and purchasing.

20 users

Warehouse, shop floor and view-heavy users on the cheaper licence type.

How to use the calculator

Enter the number of professional and limited users, using the licence prices on your partner quotes. Add consulting days for implementation, data migration and training, with your blended day rate. Set a contingency, since scope changes happen in most projects. Then read the Year 1 total, the annual run cost and the three-year total. The chart shows how Year 1 cost scales with the number of professional users. Change one input at a time to learn which drives the result.

What the formula includes

Licence cost is users times price for each licence type. Services are the sum of days times the day rate, increased by the contingency. Year 1 adds first-year maintenance as a percentage of licence, plus hosting. Later years are hosting plus maintenance. Three-year cost is Year 1 plus two run years. Subscription pricing replaces the licence and maintenance split with a monthly fee, in which case enter the annual subscription as licence cost and set maintenance to zero.

  • Services are often 1 to 2 times the licence cost for a manufacturer
  • Maintenance is commonly a percentage of licence
  • Cloud or hosted options move cost from capital to operating spend

Costs this tool does not model

The result is deliberately partial. Real projects add industry add-ons, such as advanced shop floor or quality modules, integrations to e-commerce or EDI, custom reports and forms, hardware like barcode scanners, internal staff time away from their jobs, and parallel running of the old system. For a manufacturer, a common surprise is item and BOM data cleanup, which takes internal time on top of the migration days. Add these as separate lines in your own budget.

Common mistakes

Budgets go wrong in predictable places. Avoid the following when presenting numbers to a board.

  • Comparing quotes with different assumed scope or user mix
  • Counting every employee as a professional user
  • Leaving out contingency and training
  • Ignoring the cost of staying on the old system until cutover
  • Looking at Year 1 only

Frequently Asked Questions

How much does SAP Business One cost?

There is no single figure. Cost depends on user counts and types, edition, deployment (on-premise, hosted or subscription), consulting effort and add-ons. Use written quotes from partners and put them in this calculator to compare them on the same basis.

What is the difference between professional and limited users?

Professional users get broad access across modules and are priced higher. Limited users have narrower access suited to warehouse, shop floor or reporting roles and are cheaper. Your partner defines exactly which functions fall in each type for your version.

How long does a B1 implementation take?

Small manufacturers often take three to six months from kickoff to go-live, longer with production, many warehouses or heavy data migration. Time follows scope and how quickly your team can clean data and test.

Should I choose subscription or perpetual licensing?

Subscription lowers the upfront cost and includes support, but total spend over many years can exceed perpetual plus maintenance. Compare the three-year and five-year totals from the actual quotes, and consider your cash position and cloud policy.
