Epicor Kinetic quality AI
AI for Epicor Kinetic Quality: Non-Conformances, CAPA, Inspection and Traceability
Short answer
AI for Epicor Kinetic quality reads non-conformance, inspection, lot and supplier data to summarize defects, find repeat causes and prepare CAPA drafts for a quality engineer to review. It traces lots from supplier to customer, answers audit questions with record links, and can run on-prem so quality records stay inside your regulated environment.

Quality records in an ERP are valuable and under-read. In Epicor Kinetic, non-conformances, inspection results, dispositions, returns and lot genealogy accumulate for years, linked to parts, jobs, suppliers and customers. The quality manager knows the system holds the answers to which supplier has the most rejects, which part keeps coming back, and where a defect first appeared, but each question takes a custom report or an afternoon in the screens.
The free-text fields make it harder still. The descriptions of what went wrong, root cause notes, and corrective actions are written by different people in different words, so counting and grouping by hand is unreliable. Two NCRs with the same cause use different vocabulary, and the pattern goes unseen until a customer complaint or an auditor makes it visible.
Language models are good at exactly this: reading free text, grouping similar records, and summarizing long histories. Used carefully, with the original records always linked and a human making every quality decision, they can make a quality team more effective without changing the controlled process. The model proposes; the engineer decides, signs and releases.
This page describes how that works on Kinetic's quality data, what regulated customers should require, and where a plain report or Epicor's own tools will do.
What usually gets in the way
The problems we hear most from quality manager teams running Epicor Kinetic.
Repeat defects hide in free text
Non-conformance descriptions and root cause fields use inconsistent wording, so recurring problems on a part, resource or supplier are not grouped. The same cause is investigated more than once.
CAPA is slow to write and review
Collecting records, drafting problem statements and checking whether an effectiveness check was done takes engineer time. Open actions linger past due, which auditors notice.
Supplier quality is a lagging view
Receipt inspection rejects, returns and supplier corrective requests are in separate places. Supplier performance reviews are prepared by hand, quarterly at best.
Traceability takes too long
When a customer asks which lots of a part went to whom, or a supplier recalls a material, tracing across receipts, jobs, lots and shipments by screen is slow and error-prone.
Audit preparation consumes weeks
Assembling evidence for AS9100, ISO 13485 or IATF 16949 audits means pulling records for named parts, jobs and actions. Missing links are discovered during the audit, not before.
Where AI earns its place in Epicor Kinetic
Each use case names the ERP objects it reads or writes, so your ERP team can judge the integration effort before anyone commits budget.
Non-conformance clustering and trends
Groups NCRs by cause, part, operation, resource and supplier even when wording differs, and shows trend lines and top contributors with links to each record.
Touches: Non-conformance records (NonConf), disposition and inspection data, JobOper, Part, Vendor, Resource
Outcome: Repeat problems become visible earlier. Quality meetings start from a ranked list rather than a recollection.
CAPA draft and follow-up
Drafts a problem statement and containment summary from linked records, suggests investigation questions, and tracks overdue actions and missing effectiveness checks.
Touches: Corrective and preventive action records, NonConf, Job and Lot references, attachments
Outcome: Less engineer time on drafting and chasing. Root cause conclusions and closure remain the engineer's.
Receipt inspection and supplier scorecard
Computes reject rate, rework and delivery by supplier and part, and prepares a review pack with the underlying receipts and non-conformances.
Touches: Receipt and inspection records (RcvDtl), PODetail, Vendor, NonConf, return to vendor records
Outcome: Supplier reviews run on current data. Findings about a supplier should be checked against context before action.
Lot genealogy and recall trace
Traces a lot forward to jobs and customers or backward to supplier lots and receipts, and produces a list with quantities, dates and documents.
Touches: PartLot, LotSeqNum, PartTran, JobMtl, ShipDtl, RcvDtl
Outcome: Trace answers in minutes with a documented list, which supports customer notification and regulator questions.
Inspection plan review
Compares inspection plans and characteristic checks against defect history to suggest where inspection is too light or redundant, for a quality engineer to evaluate.
Touches: Inspection plans and results, NonConf by operation, PartOpr, scrap and rework reporting
Outcome: Inspection effort aligns with real risk. Plan changes go through the normal document and change control.
Customer complaint and RMA analysis
Links returns and complaints to the jobs, lots and operations that produced the parts, and summarizes patterns across customers and time.
Touches: RMAHead, RMADtl, OrderDtl, JobHead, PartLot, NonConf
Outcome: Complaint response starts with a pre-assembled history, so containment actions are faster.
Audit evidence assistant
Answers auditor-style questions such as show all NCRs for this part in the last year with their dispositions and closure dates, and assembles a package with links.
Touches: NonConf, CAPA, inspection, training and calibration records where stored in Kinetic or document store
Outcome: Audit preparation shifts from collecting to reviewing. Gaps in linkage are found beforehand.
Reference architecture
The assistant reads quality, receiving, job and lot data through Kinetic APIs and BAQs and indexes quality documents in a private retrieval store. Original records stay in Kinetic, the assistant stores references, and any suggestion is clearly marked as a draft until a qualified person adopts it.

Integration notes for your ERP team
- Confirm which Kinetic quality features you use: non-conformance tracking, inspection processing, CAPA and receiving inspection differ by licensed modules and configuration, and the data available depends on it.
- Lot traceability depends on lot tracking being enabled for parts; PartLot and part transaction history are the basis, and gaps in lot capture limit what any tool can trace.
- Use BAQs to expose NCR, inspection and RMA history with joins to job, part and vendor, so the assistant calls a few well-tested queries rather than many raw services.
- Attachments such as photos, CMM reports and certificates are valuable evidence; plan access to them and decide which can be indexed under your data classification.
- Free-text fields are often in UD columns or memo fields; include them in the extracts, and mask personal data if operator names appear.
- Keep suggestions out of controlled fields: store AI drafts in a separate table or document area until adopted by an authorized user.

FDA 21 CFR Part 820 (QMSR) and ISO 13485
AI output is decision support, not a controlled record. Software used in quality processes needs a documented validation approach proportional to risk, and the customer owns it. Logs help show control.
21 CFR Part 11
Electronic records and signatures remain in Kinetic or the document system. The assistant does not create signed records, and drafts are reviewed and signed by authorized people there.
AS9100 and AS9102 first article
Traceability and nonconforming product records remain the system of record. The assistant helps retrieve and summarize them, and flags where records are incomplete.
IATF 16949 and customer-specific requirements
Problem solving records such as 8D can be drafted from linked data. Customer-specific formats and approvals still apply, and a person owns each submission.
ITAR and CUI handling
For controlled programs, deployment inside the enclave keeps quality data under the same access control as the ERP.

Frequently asked questions
Can AI write CAPA reports in Kinetic?
It can draft a problem statement, assemble related records and suggest investigation questions, but a qualified person must determine root cause, approve actions and close the record. Drafts should be stored apart from the controlled record until adopted. Treat the output as a time-saver for assembling facts, not as a source of conclusions.
Is it acceptable in an FDA-regulated or ISO 13485 environment?
It can be, if you treat it as software used in the quality process and assess risk, define intended use and verify it for that use. It does not make quality decisions, it keeps logs and cites sources. Your quality system decides the validation depth. We supply test evidence and design documentation to support that.
How does it group similar NCRs?
It converts descriptions and cause fields to embeddings and clusters records by meaning rather than exact words, then labels each cluster and lists its members. Engineers review and rename clusters. This catches records phrased differently but describing the same defect, though it can group wrongly, which is why members are always shown.
Can it trace lots for a recall?
Yes, as far as your lot data allows. It walks from a supplier lot through receipts, issued job materials and finished lots to shipments, or backward from a customer complaint. If lot tracking was not enabled for a part or was entered inconsistently, it reports the gap rather than inferring links.
Does it work with a separate QMS?
Yes. Many companies keep CAPA and document control in a separate QMS and use Kinetic for transactions. The assistant can read both through their APIs and link records across them. That usually becomes a custom integration, and the QMS vendor's own API and terms should be checked first.
Will it handle supplier quality reviews?
It can compute reject rates, late deliveries and open corrective requests by supplier, assemble the underlying records and draft a review summary. Context still matters, such as a one-time design issue, so the quality engineer decides what to raise with the supplier. Results depend on consistent receiving inspection practice.
How is personal data protected?
Operator and inspector names may appear in records. We can mask or exclude them, apply role-based access, and keep processing inside your network. For works-council or privacy law settings, outputs can be limited to process and part level instead of individuals. The approach is agreed with your privacy officer.
