AI on Infor SyteLine for Medical Device Manufacturers: Genealogy, DHR and Audit Evidence

Short answer

AI on Infor SyteLine for medical device manufacturers connects a private model to SyteLine lot, serial, job and purchasing data so quality and operations staff can trace a component to every finished device, assemble device history record evidence, and answer auditor questions in minutes. It runs on-prem or in a private cloud, is read-only by default, and leaves the quality system of record, and every decision, with your people.

A medical device manufacturer running SyteLine usually has a lot of the right data in the right place: lot and serial numbers on item masters, material transactions tied to jobs, purchase receipts tied to supplier lots, and customer shipments tied to serials. The difficulty is that answering a real question, such as which finished devices contain a resin lot a supplier just flagged, means walking material transactions, job material records and shipment lines across several forms, often with a spreadsheet to stitch the result together.

That work lands on a small group: the quality engineer preparing for an FDA or notified body audit, the planner chasing a hold, the complaint handler who needs a device history record (DHR) fast. Under 21 CFR Part 820, now restructured as the Quality Management System Regulation (QMSR) and aligned to ISO 13485:2016, you must be able to show traceability and controlled records on demand. Most teams can, but the cost in hours is high and the knowledge sits with a few people.

Public AI services are a poor fit. Device designs, supplier terms, complaint data and patient-adjacent information are exactly what a regulated manufacturer should not paste into a hosted chatbot. The workable pattern is a private model, running on infrastructure you control, that reads SyteLine through its own APIs, shows the query it ran, and never writes anything without a person approving it.

This page describes what that looks like for a SyteLine or CloudSuite Industrial shop making Class I to Class III devices or contract manufacturing for OEMs, where it helps, where SyteLine's own features or your QMS are enough, and what to ask any vendor before connecting an AI agent to production records.

What usually gets in the way

The problems we hear most from vp quality / operations teams running Infor SyteLine.

Forward and backward traceability is a multi-form hunt

Tracing a supplier lot to affected finished serials means following receipts, lot transfers, job material issues and shipments. It is doable in SyteLine but slow, and a recall drill exposes how much depends on one experienced analyst.

DHR assembly is manual and error-prone

Collecting routing completions, material lots, inspection results and rework history into a device history record is mostly copy and paste across systems, and gaps are found by the auditor rather than by the process.

UDI and labeling data lives in more than one place

Device identifiers, GUDID submissions and label content are often held partly in SyteLine item fields and partly in labeling software or spreadsheets, so mismatches creep in after item changes.

Supplier and nonconformance history is hard to correlate

Linking a supplier's incoming rejects, SCARs and corrective actions to the purchase orders and lots affected requires joining quality records, purchasing data and receiving history that were never designed to be read together.

Change control and ERP configuration drift

Engineering changes, routing revisions and approved supplier updates need to line up with what SyteLine actually released to the floor. Verifying that after the fact is tedious and rarely done systematically.

Where AI earns its place in Infor SyteLine

Each use case names the ERP objects it reads or writes, so your ERP team can judge the integration effort before anyone commits budget.

Lot-to-device recall impact analysis

A quality engineer asks which finished serials contain a named supplier lot and which customers received them. The assistant builds the forward trace from live SyteLine data and shows each step so the engineer can verify it.

Touches: lot, lot_loc, matltran, jobmatl, job, serial, coitem, co, shipment lines (IDOs such as SLLots, SLJobmatls, SLSerials)

Outcome: Turns a half-day trace into a reviewed result in minutes; the engineer still confirms the chain before any customer action.

DHR evidence pack drafting

For a serial or job, the agent collects routing operation completions, issued material lots, labor and inspection transactions into a structured draft for quality to review and attach to the DHR.

Touches: job, jobroute, jobmatl, jobtran, matltran, serial

Outcome: Reduces the clerical assembly of a DHR; reviewers spend time on exceptions, not on gathering.

Audit question answering

During an FDA, notified body or customer audit, staff ask in plain English for examples such as the receiving history of a specific part or all jobs completed with a given revision, with each answer carrying its source query.

Touches: item, po, poitem, matltran, job, jobroute

Outcome: Shortens the wait between an auditor's request and a defensible answer, and leaves a log of what was asked.

Supplier performance and SCAR correlation

The assistant joins receipts, rejects and open corrective actions by vendor and part, highlighting suppliers whose lots repeatedly appear in nonconformances.

Touches: vendor, poitem, po_rcpt, nonconforming material records, reason codes

Outcome: Gives purchasing and quality a shared, current view for supplier reviews instead of a quarterly spreadsheet.

Expiry and shelf-life watch

For sterile barrier materials, adhesives and packaging with limited shelf life, the agent flags lots approaching expiry that are reserved against open jobs.

Touches: lot (expiration attributes), lot_loc, jobmatl, reservation data

Outcome: Fewer last-minute scrap decisions and earlier substitution or re-test requests.

ECO to released-routing consistency check

After an engineering change, the agent compares the approved revision to item, BOM and routing data released in SyteLine and lists mismatches for engineering to resolve.

Touches: item, jobroute templates (item routing), bom, engineering change records

Outcome: Catches configuration drift before it reaches the shop floor rather than at the next audit.

Complaint triage assistance

Given a complaint reference and a serial, the assistant pulls manufacturing history and shipping data so the complaint handler starts with context rather than a blank search.

Touches: serial, job, coitem, co, customer ship-to records

Outcome: Faster initial investigation; the regulatory reportability decision remains entirely with qualified staff.

Reference architecture

A private AI layer sits beside SyteLine and reads through the supported IDO and REST paths using a scoped, read-only service identity, so existing SyteLine authorizations apply and no direct writes occur. Your quality management system stays the system of record for CAPA, complaints and design controls.

  1. 1

    SyteLine connector

Uses IDO REST requests (and optionally a read replica of the SQL database for heavy trace queries) with a dedicated service account; queries respect SyteLine user and site permissions.

  2. 2

    Semantic layer

Maps lots, serials, jobs, routings and receipts to quality vocabulary such as device history, supplier lot and rework, including your own user-defined fields.

  3. 3

    Model serving

An open-weight model served with vLLM or Ollama on your GPUs or in a private cloud tenant, with no outbound path to public AI APIs.

  4. 4

    Retrieval and agents

Live query grounding for traces and DHR drafts, retrieval over controlled SOPs and work instructions, and agents that produce drafts only; any write needs human approval.

  5. 5

    Governance and audit

Every question, generated query and answer is logged against the requesting user, with retention rules you set to match your records procedures.

Integration notes for your ERP team

  • Reads SyteLine via IDO REST with a named service user; no use of shared admin credentials.
  • Lot and serial trace queries use matltran and job material history, with an optional SQL read replica to avoid load on the production database.
  • User-defined fields on item, lot and job are discovered from the IDO metadata so UDI and revision fields can be included.
  • Quality, CAPA and complaint records in an external QMS are linked by reference ID through its API or exports, not copied wholesale.
  • Draft outputs (DHR packs, supplier summaries) are written to a review queue, not back into SyteLine tables.
  • Multi-site SyteLine configurations are respected by site, so a user only sees plants they are already authorized for.

Deployment options

On-prem

Manufacturers keeping SyteLine and AI on the same internal network, including contract manufacturers bound by OEM confidentiality terms.

Model, retrieval index and connector run on your hardware; the only data path is internal between the AI host and SyteLine.

Private cloud

CloudSuite Industrial customers or teams without GPU capacity of their own.

A dedicated tenant in your cloud account or a sovereign region, isolated from shared AI services, connected to SyteLine over private networking.

Air-gapped validation enclave

Sites that want the AI layer proven in a controlled environment before it touches production.

A sanitized SyteLine copy is used for qualification and accuracy testing, then the same build is promoted under change control.

Compliance and data control

How the architecture supports your obligations. Certification and accountability stay with your organisation; the design keeps the evidence straightforward.

21 CFR Part 820 / QMSR and ISO 13485:2016

The AI layer does not replace records or approvals. It accelerates retrieval of records you already keep, and any use inside a quality process should be assessed under your own software validation and risk procedures.

21 CFR Part 11

Where electronic records or signatures are involved, the AI layer stays read-only and never signs or approves; signatures remain in the validated systems that already handle them.

UDI (21 CFR Part 830) and EU MDR traceability

Assists in checking identifier and traceability consistency against SyteLine data; submissions to GUDID or EUDAMED remain controlled by your regulatory team.

Software validation (computer software assurance)

Netray supplies test evidence, accuracy reviews and change logs; the decision on intended use and validation depth belongs to your quality unit.

Questions to ask any vendor, including us

A short list that separates real Infor SyteLine AI work from a chatbot demo.

  1. Can every trace result be reproduced from the shown query, so a quality engineer can verify it independently?
  2. How is the tool positioned in our validation plan, and what evidence do you provide?
  3. Does it ever write to SyteLine, and if so, what approval is enforced?
  4. Where does the model run and can we see the network diagram?
  5. How are user-defined fields and our custom lot attributes handled?
  6. What happens to answers when an item revision or routing changes mid-job?
  7. How are logs retained and can they be exported for an audit?
  8. What does exit look like if we stop using it?

Frequently asked questions

Can AI generate a device history record from SyteLine?

It can assemble a draft by collecting routing completions, material lots, labor and inspection transactions for a serial or job into a structured pack. A qualified person reviews and approves it, and your DHR procedure and validated systems remain the record of authority.

Is a private AI layer allowed under FDA rules?

The FDA does not prohibit it, but how you use it matters. If it influences quality decisions or records, assess it under your software validation and risk procedures. Using it for retrieval and drafting, with human review, is the lower-risk starting point.

Does it replace our QMS?

No. CAPA, complaints, design controls and document control stay in your QMS. The AI layer reads SyteLine, and can link to QMS records by reference, to speed up investigation and audit preparation.

How accurate are lot trace results?

They are only as good as the transactions recorded in SyteLine. The assistant shows its query and each step so gaps, such as an unrecorded lot transfer, are visible. It makes bad data easier to find, not better.

Does it work with CloudSuite Industrial?

Yes. The same IDO-based approach applies, though CloudSuite tenants may have limits on direct database access, so heavy queries use the supported API paths or a replica where permitted.

Can contract manufacturers use it for OEM customers?

Yes. Per-customer scoping and on-prem or private deployment help meet OEM confidentiality terms. You decide which customers or parts are in scope and the access is logged.

Is SyteLine's own reporting not enough?

For fixed, routine reports it often is. The AI layer helps with ad hoc questions that cross lots, jobs and shipments, where building a new report each time is slow. If your questions are stable, a standard report is simpler.
