Infor LN Item Group: Setup and Maintenance

Question
infor ln item group

Also searched as

  • infor ln item groups session
  • infor ln create item group
  • infor ln item group tcmcs023

Short answer

An item group in Infor LN classifies items so that defaults, accounting and reporting can be applied by group instead of item by item. You maintain them in the Item Groups session (tcmcs023m000 in common data) and assign each item to one group in the item base data. Plan the group structure before loading items, because changing it later affects accounting defaults and history.

Applies to: Infor LN 10.x and ERP LN 6.x; session codes as commonly documented, confirm in your release

How to set up item groups

  1. 1Agree the grouping with finance and supply chain: groups usually follow how you account for and report on stock, such as raw material, purchased component, finished goods and service parts.
  2. 2Open the Item Groups session (tcmcs023m000, or find it with session search for item group).
  3. 3Create each group with a code and description, and set the default values the session offers for items in that group.
  4. 4Set up the related accounting mapping so that transactions for items in the group post to the right ledger accounts (integration mapping in the finance setup).
  5. 5Assign the group to items in the item base data session when you create or convert items.
  6. 6Test with one item per group: receive, issue and invoice it, then check the postings and cost price.
  7. 7Document the group list and who may add new groups.

What an item group controls

The item group is a lookup used in many places. In item base data it supplies defaults when you create items. In finance it is a key for mapping inventory, cost of goods and variance postings to ledger accounts. In reports and selections it is a standard way to filter or total by product family.

Because it drives accounting, a wrong group causes wrong postings that are tedious to correct later. Treat it as a controlled master data field.

Designing the group structure

Keep the list short and stable. Groups should reflect accounting and policy differences, not every product line, because product lines are better handled by other classifications. A common guideline is to add a group only when it needs different accounts or different defaults.

Do not reuse a group for two meanings. If you need a distinction for reporting only, use another classification such as product line or selection codes.

Changing a group on existing items

Moving an item to another group after it has transactions changes where future postings go and can create inconsistencies between history and new activity. Check with finance and, where the item still has stock, consider the effect on inventory valuation.

For bulk changes, test the change in a copy company first and review the postings of a few sample transactions afterwards.

Common pitfalls

  • !Creating too many groups that differ only cosmetically.
  • !Changing the group of items with open stock without finance review.
  • !Forgetting the accounting mapping for a new group, so postings fail or land on the wrong account.
  • !Reusing one group for different meanings in different departments.

How an ERP-grounded AI assistant handles this

Netray adds a private AI layer on top of the Infor LN you already run, including on-prem installs. ERPray answers questions in plain language over LN data read-only, shows the query it ran and respects LN roles, so a consultant can ask the question instead of hunting for the session. The model runs on your own GPUs, nothing leaves your network, and any write-back needs a human approval. Cloud-hosted LN works too, but the design is tuned for on-prem and air-gapped sites. For pure navigation questions, LN's own session search and help are often enough.

Frequently asked questions

What is the difference between an item group and an item type?

The item type describes how an item behaves, for example manufactured or purchased. The item group classifies items for defaults, accounting and reporting. They serve different purposes and are set separately.

Where do I maintain item groups in LN?

In the Item Groups session in common data, commonly tcmcs023m000. Use session search to confirm in your version.

Can an item belong to more than one group?

An item has one item group in its base data. For additional classifications use product lines, selection codes or similar fields.

Does the group affect costing?

It can, through defaults and the accounting mapping tied to the group. Review both when you add a group.

How-to

Infor LN item sales session, item purchase session and site data: where each lives

In Infor LN the item master is split by business function. General data sits in the Items - General table (tcibd001), sales data in Item - Sales (tdisa001) and purchase data in Item - Purchase (tdipu001). Site-dependent data such as ordering and planning parameters is held per item and site, so one item can behave differently in each site.

How-to

Additional cost setup in Infor LN, including machine cost

In Infor LN, costs beyond material are built from cost components, operation rates (labor and machine) and surcharges. You define the components, set rates on work centers and machines, attach additional costs through surcharges or cost components on items and orders, and then run the cost price calculation so the values flow into item cost and order cost.

How-to

Conversion Factor Session in Infor LN: Setup and Common Errors

Infor LN converts between units using conversion factors, either general factors between units of the same physical dimension or item-specific factors that override them. When an item is bought in one unit and stocked in another, LN needs a factor for that pair. A missing factor is the usual cause of a conversion error on purchase orders, receipts or sales lines.

How-to

Segment Reporting in Infor LN: Financials Setup

Infor LN has no single switch for segment reporting. You build it from the financial structure: choose the segment definition (business unit, product line or region), carry it as a dimension or on the chart of accounts, map it to ledger postings, and report with the financial report writer or standard financial statements. Define the segments with your accountants first, since the design drives everything else.

Error fix

Infor LN bshell Process Stuck at 100% CPU: How to Diagnose and Fix It

A bshell process pinned at 100% CPU on the Infor LN application server almost always means one session is stuck in a 4GL loop, scanning an unindexed table, or waiting on a database lock. End the session from the Sessions Monitor first, then kill the OS process only if that fails, and check for a blocking database transaction before assuming it is a bug.

Error fix

Infor LN Not Authorized to Run This Session: How to Fix It

Infor LN refuses to open a session with a not authorized message when the logged-in user's assigned role does not include that session, or when the session is blocked for the company they are logged into. Grant the session through Common > Authorization Management > Roles, or check the user's role and company context, and the session opens on retry. In most cases this is a permissions configuration issue, not a bug.
