How to add an AI chatbot to Oracle E-Business Suite
Short answer
Put a chat panel in front of a retrieval and tool layer that reads EBS through a reporting schema or ISG services, plus your procedure documents. The bot answers from live data, respects the user's responsibilities, and shows its sources. It can run entirely on-prem on an open-weight model.
EBS users spend much of their time finding things: which form, which status code, why this order is on hold, what the lead time really is. Many questions come from people who do not use EBS daily, such as sales, quality and shop supervisors.
A chatbot helps when it answers from your instance and your documents, not from general knowledge. A bot that guesses at EBS behaviour from the internet is worse than a stale PDF.
Placement matters. EBS forms are not an easy host for a chat widget, so most teams use a separate web page, an intranet portal, Teams or a self-service portal, and link out to the exact form or OAF page for action.
What teams use it for
How do I do this in EBS
Answer procedural questions from your own training material and SOPs, with links to the relevant responsibility and menu path.
Order and shipment status for sales
Sales staff ask for status in plain language and get order lines, holds and expected ship dates.
Supplier portal assistant
Suppliers ask about PO changes and receipts through an external portal limited to their own vendor site data.
Shop floor questions
Supervisors ask what is released to a line today or what material is short, from WIP and inventory views.
Quality lookup
Find lot, supplier and inspection results for a received item.
Onboarding new users
A guided assistant for new buyers or planners that explains concepts like the planning horizon or approval hierarchy using your configuration.
Oracle E-Business Suite integration surface
- Reporting views on a standby or reporting schema for read-only answers.
- Integrated SOA Gateway services where enabled, for questions that must go through EBS business logic.
- Oracle Application Framework (OAF) pages and Self-Service flows, which you can link to as the action destination.
- FND user and responsibility data to determine what the signed-in person may ask about.
- Documents: user guides, SOPs, attachments in FND_DOCUMENTS and policy PDFs, indexed separately for retrieval.
How it works
- 1
Pick the audience
Internal users, customers or suppliers are three different products with different data scopes. Start with one.
- 2
Choose the front end
An intranet page, Teams tab, or a customer portal. Use SSO so the bot knows who is asking.
- 3
Build data tools
Create status and lookup functions over views, with operating-unit and customer or vendor scoping baked in.
- 4
Index your documents
Chunk and embed SOPs and guides locally. Tag with version and owner so stale content can be retired.
- 5
Ground and cite
Require answers to cite either a data lookup or a document passage. If neither supports the answer, say so and offer a human.
- 6
Deflect to the form
For actions, return a deep link to the right EBS page rather than doing it in chat.
- 7
Review transcripts
Read real conversations weekly, add missing documents and fix tool gaps.
Example flows
Where is my order
Trigger: A customer service rep types a customer PO number.
- The bot resolves it to sales orders via a lookup tool.
- It checks lines, holds and delivery status.
- It composes a short status message with the open issues.
- Rep copies or edits the reply.
Result: A straight answer in seconds with the order lines visible.
Procedure question
Trigger: A new buyer asks how to change a PO after approval.
- The bot searches the SOP index.
- It finds the revision process and approval hierarchy notes.
- It answers with steps and the menu path.
- It links to the PO workbench.
Result: Fewer interruptions to experienced colleagues.
Keeping data on-prem
A chatbot is a good on-prem candidate because the volume is modest and the value is in your own data. Host an open-weight model such as a Qwen, Llama or Mistral class model with vLLM or Ollama on a GPU server in your data centre, with a local embedding model and vector index for documents. The chat service queries the reporting schema over an internal link. Nothing is sent to a cloud API. For external portals, place only the chat front end and an authenticated gateway in the DMZ and keep the model and data inside.
Security checklist
- Identity from SSO, mapped to EBS responsibilities or to a customer or vendor account.
- Hard data scoping in the tools, not in the prompt: an external user must be unable to query another customer's orders.
- Prompt-injection hygiene: treat document text and free-text fields as untrusted input.
- Retention rules for transcripts, and redaction of personal data before storage.
- Rate limiting and abuse monitoring on any external-facing bot.
Ways to get it done
Oracle digital assistant or other vendor chat tools
Effort: Moderate, licence dependent
Teams already licensed for Oracle's chat tooling. Check how well it reaches classic EBS data for your release.
Build in-house
Effort: 6 to 12 weeks
You have web and data engineers and want full control.
Netray private chatbot
Effort: 4 to 10 weeks
On-prem or air-gapped, with grounded answers and tested scoping.
Pitfalls
- !Training the bot only on documents and letting it guess at live data.
- !Letting free text from customer notes steer the model.
- !No fallback when the bot lacks an answer, leaving users stuck.
- !Indexing outdated SOPs from before an upgrade or reorganisation.
- !Putting the model behind the EBS database tier with no separation, so a compromise exposes both.
Frequently asked questions
Can I embed a chatbot inside the EBS forms?
Not easily. Forms and OAF pages are not designed to host a modern chat widget. Most teams place the bot on an intranet page or Teams and deep-link to the relevant EBS page for action.
Will the chatbot know my configuration?
Only what you give it: live data through tools and your documents through retrieval. It will not reliably know your flexfields, workflows or customisations unless you describe them in indexed material.
Can it run without internet access?
Yes. Use a locally hosted open-weight model, local embeddings and a local vector index. Keep updates to models and documents on a controlled schedule.
How do I stop customers seeing each other's data?
Enforce scoping in the data tools using the authenticated customer or vendor ID, never in the prompt. Test with deliberate cross-account attempts before launch.
When is a simple report enough?
If users always ask the same five questions, a BI Publisher report or dashboard is cheaper and more predictable. A chatbot earns its place when questions vary and cross several modules.
