ABAP Functional Specification Template (Free Word/PDF Export)
A functional specification is the contract between the person who understands the business need and the ABAP developer who builds it. This template gives you the sections developers actually ask for, so the first build is closer to right.

Functional Specification FS-MM-014
Title: Open purchase order aging report Object type: Report Module: MM Author: A. Consultant Date: 2026-10-20
1. Business purpose
Buyers need a list of open purchase order schedule lines grouped by age bucket so they can chase overdue deliveries without exporting EKPO and EKET to Excel.
2. Selection screen
Plant (mandatory, S_WERKS), Vendor (range), Purchasing group (range), Document date (range), Checkbox: include deleted items (default off).
3. Processing logic
Read open PO items where delivery is not complete. Age = today minus delivery date. Buckets: 0-7, 8-30, 31-60, over 60 days. Exclude items with deletion indicator unless checkbox is set.
4. Output layout
ALV grid: PO number, item, vendor, material, open quantity, delivery date, age in days, bucket. Totals by vendor. Export to Excel enabled.
5. Authorization and volume
Authorization: Check M_BEST_WRK for the plant on the selection screen. Volume and performance: About 40,000 open schedule lines per plant; online run under 30 seconds.
6. Test scenarios
| # | Scenario | Input | Expected result |

7. Open questions

Sign-off
Adapt section names to your project methodology. If your project uses SAP Solution Manager or a ticket tool, paste the Spec ID there so the technical design and transport can be traced back.
Want specs reviewed before build?
Send us a spec and we will point out gaps a developer would raise. Optional, no obligation.
Optional. The tool and every export work without this. No spam.
How to use the template
Fill in the fields at the top, one object per document. Write the business purpose in plain language, then be exact in the selection screen and processing logic sections: name the tables or fields you know, the mandatory inputs, the defaults and the exclusions. Add test scenarios before development starts, not after. Export to Word if your project keeps specs in a document repository, or PDF if you only need to circulate it for sign-off.
- One document per RICEFW object
- State mandatory versus optional selection fields
- Describe every exclusion explicitly
- List at least three test scenarios
What a developer needs from a spec
Developers lose the most time to ambiguity, not to coding. The spec should say where the data comes from (module and process, ideally table names), how it is filtered, how it is calculated and how it is shown. It should also give volumes, because a report that runs on 500 rows in test can fail on 5 million in production. Authorization checks belong in the spec, since adding them later usually means retesting. If the object touches money or inventory, name the posting rules.
Common mistakes
The usual failures are specs that describe the screen but not the rules, specs with no test data and specs that change after build begins without a version number. Another frequent gap is silence on error handling: what should happen with a missing vendor, a blocked material or a closed period. Version the document, keep the Spec ID stable and agree sign-off before development is started.
- No error handling rules
- No data volume estimate
- Missing authorization requirement
- Scope added by email, not by revision
Frequently Asked Questions
Is this template specific to ECC or S/4HANA?
No. The structure works for both. In S/4HANA you may add notes about CDS views, the simplified data model (for example MATDOC instead of MKPF and MSEG) and whether the object belongs in the cloud-compliant extensibility model.
Who should write the functional specification?
The functional consultant or business analyst who owns the process writes it, with input from the business process owner. The developer reviews it for feasibility before sign-off, and raises questions that go into the open questions table.
How detailed should the processing logic be?
Detailed enough that two developers would build the same result. State filters, calculations, rounding, sort order and exclusions. You do not need to write pseudo-code, but you should name the source data and the decision rules.
Can I export it to Word to edit further?
Yes. Every template on this site exports to Word and PDF. Fill the fields, export, then continue editing in Word if your project needs company headers or extra sections.
If your team spends weeks turning specs into working objects, we can show how AI-assisted drafting and review can run on your own systems, with developers staying in control.
