SAP Billing Types Reference: F1, F2, G2, L2, RE, S1 and More

Billing types decide how invoices, credit memos, debit memos and pro formas behave and how they post to accounting. This reference lists the standard types and the document they are created from.

Billing due list analysis

Optional: we can build a read-only view that explains why each item in the billing due list is not yet billed.

Optional. The tool and every export work without this. No spam.

How to use this reference

Search by code, such as F2, or by function, such as cancel or intercompany. Use it when you design the billing process, prepare copy control discussions or check which Z billing types a client has copied. Each row shows the reference document, which helps when you decide whether billing should run from the delivery or from the order, for example with a billing plan.

  • Search by code or description
  • Compare with the client's VOFA entries
  • Use the reference column to design copy control
  • Export to Excel for the blueprint

What a billing type controls

In VOFA a billing type sets the billing category, whether it posts to accounting, the account determination procedure, the number range, the output procedure, the cancellation billing type and the posting block. It also decides whether the document is credit or debit, which controls the sign in FI. Copy control between the delivery or order and the billing document sets which items and quantities are copied and what pricing is redetermined.

  • Posting to accounting can be switched off for pro formas
  • Cancellation type points to S1 or S2 style types
  • Account determination is driven by procedure and account keys
  • Copy control sets pricing type and data transfer

Delivery-related and order-related billing

F2 is billed from the delivery, so the quantity invoiced is what was shipped. F1 bills from the order, which suits services, milestone billing and billing plans where nothing is delivered. The item category and the billing relevance indicator decide which route a line takes. Mixed orders can show both, so test the billing due list (VF04) with several item types and partial deliveries.

Common mistakes

Teams often forget to set the cancellation billing type on a Z copy, so cancelling an invoice fails. Another problem is leaving billing blocks on credit memo requests without a release process. For intercompany scenarios, make sure that account determination for IV exists in both company codes, and keep pro forma types separate from real invoices so they never post to accounting by accident.

Frequently Asked Questions

What is the difference between F1 and F2?

F2 is the standard invoice created from a delivery, billing what was shipped. F1 is the order-related invoice, created from a sales order without a delivery, used for services and billing plans. The choice depends on the item category and the billing relevance setting.

Where do I maintain billing types?

Use transaction VOFA, or SPRO under Sales and Distribution, Billing, Billing Documents, Define Billing Types. Copy control from sales and delivery documents is maintained in VTFA and VTFL, and account determination in VKOA.

Do pro forma invoices post to accounting?

No. Pro forma types such as F5 and F8 are set up without accounting posting. They provide a document for customs, prepayment requests or shipping papers. If a pro forma posts, check whether a Z copy changed the posting control by mistake.

How do I cancel an invoice?

Create a cancellation billing document, normally S1, from the invoice, using VF11. It reverses the accounting document and reopens the quantities for billing. The cancellation type is defined on the original billing type, so check that setting for Z types.

If month-end billing is slowed by invoices stuck in the due list, we can build a read-only agent that explains why each document is not yet billable from live SAP data.
