Aerospace Certificate of Conformance Template

A certificate of conformance is the supplier's signed statement that the delivered parts meet the order. In aerospace it travels with the shipment and links the lot to the drawing revision, specifications, material and special processes. This template builds a clean one in your browser.

Statement of Conformance

We certify that the items listed above were manufactured, inspected and tested in accordance with the purchase order, the applicable drawing revision and the specifications listed, and that they conform to all requirements. Records supporting this certificate are on file and available on request.

Authorization

Authorized quality representative (name, title, signature) / Date

A starting point, not legal advice. Your customer's purchase order may prescribe mandatory wording, counterfeit-part or country-of-origin statements, or a required format. The person signing must have authority and knowledge to certify. Do not issue a CoC for product that has not passed final inspection.

Generate CoCs from released lots

Want certificates produced from your ERP lot and shipment data with signer approval? Ask for a short review.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in the order data directly from the purchase order and the shipping record, not from older paperwork. List every specification the PO calls out and any approved special processor used. Export to PDF for the shipment, then store a copy with the lot record. If a customer supplies its own CoC wording, paste it into the conformance statement field so the layout stays consistent.

  • Match part number, revision and quantity to the packing list
  • List special processes with the processor name and certificate reference
  • Reference the heat or batch for raw material traceability
  • Sign only after final inspection and record review

What a CoC should show

AS9100D clause 8.6 requires release of product only after planned verification is complete, and 8.5.2 requires identification and traceability where needed. A CoC is the document that supports release to the customer. It normally identifies the supplier, the order, the item, the revision, the quantity, the specifications met and the authorized signer. Flow-downs may add statements on counterfeit parts, country of origin or restricted substances.

Checking before you sign

Before signature, verify that the inspection record is accepted, that the FAI is current if one is required, that material and process certificates are on file, and that any nonconformances have approved dispositions. A CoC that states conformance while a waiver is missing is a serious quality escape and may be treated as a false certification.

Common mistakes

Frequent errors include the wrong drawing revision, an outdated specification issue, missing special process source and a signer without authority. In ERPs such as SAP QM, SyteLine or Epicor, generate the CoC from the released lot so quantities and revisions are pulled from the transaction, and block printing until the usage decision is made.

Frequently Asked Questions

What is the difference between a CoC and a certificate of analysis?

A CoC states that the product meets the order and specifications. A certificate of analysis or material test report gives measured test values such as chemistry or mechanical properties. Aerospace shipments often need both, with the test report supporting the material traceability line on the CoC.

Who can sign a certificate of conformance?

An authorized person with the knowledge and authority to certify, normally a quality representative named in your procedures. Some customers require signatures by specific roles. The signer is accountable for the statement, so they should confirm the records before signing.

Do I need one CoC per shipment or per lot?

Follow the purchase order. Many customers want one CoC per shipment per part number, listing all lots included. Others want one per lot. A clear lot or serial reference on the CoC matters more than the count.

Can I use an electronic signature?

Often yes, if your quality system defines how electronic signatures are controlled and the customer accepts them. Check the purchase order terms. Keep a controlled copy and make sure the signature cannot be altered after issue.

If CoCs are still typed by hand, we can help generate them from released lots in your ERP with the authorized signer approving each one.
