Certificate of Conformance Template for Defense Electronics

A certificate of conformance is a signed statement that the shipped product meets the purchase order, drawing and specifications. Defense primes ask for it with almost every shipment, so a clean, consistent template saves time at the dock.

Generate CoCs from the ERP

Optional review of producing certificates from shipment data.

Optional. The tool and every export work without this. No spam.

How to use it

Fill in the supplier and customer details, purchase order number, part number with revision and quantity, then list the serial numbers or lot. Add the exact specifications from the contract in the requirements field. Export to PDF for shipping and keep the Word version as your master. Match every field to the packing list so the receiving inspector sees consistent data.

What the certificate must support

A CoC is a claim, and the records behind it must exist: inspection results, test data, material traceability and calibration status. AS9100 expects control of documented information, and many primes flow down clauses that require retention of records for years. If your contract adds statements, such as counterfeit parts avoidance, RoHS or specific DFARS clauses, add them as separate lines in the requirements field and sign only what you can prove.

Common mistakes

Common errors include a wrong revision, a missing PO line, a signature by someone without authority and a generic statement that does not match what the contract asked for. Another is certifying before final inspection is closed. Use one numbering scheme and keep a copy in the shipment record. For repeat orders, update the date and quantity fields rather than editing the statement text.

Frequently Asked Questions

Who should sign a certificate of conformance?

A person your quality system authorizes to release product, usually the quality manager or a designee. The authority should be written in your procedures.

Is a CoC the same as a certificate of compliance?

In practice, the terms are used interchangeably. Some customers distinguish them by what is certified, so follow the exact title and wording in your contract.

Does it need serial numbers?

If your contract or part is serialized, yes. For lot-controlled items, list the lot or date code. If neither applies, state the quantity and PO line.

Can I add RoHS or DFARS statements?

Yes, but only if you can support them with supplier declarations and records. Add them as clearly labeled statements and check the contract for required wording.

Netray can help generate CoCs directly from ERP shipment and inspection data so fields are never retyped.
