This template is a starting point and not a substitute for the format required by your customer or standard. Attach the original mill test report where the contract requires traceability.

Link certificates to ERP lots

Optional discussion about attaching material certificates to batch and lot records automatically.

Optional. The tool and every export work without this. No spam.

How to fill the certificate

Enter the supplier, customer, PO and certificate number, then describe the material, specification and heat or lot. Add the mechanical results and complete the chemistry table from the mill test report. Review the conformance statement and edit it to match your contract wording, then export to PDF or Word for signature.

  • Copy heat numbers exactly from the mill report
  • State the condition, such as cold drawn or annealed
  • Add the quantity by piece and weight
  • Sign and date before shipping

What a conformance certificate proves

A CoC is a supplier statement that the delivered goods meet a named specification and the purchase order. It is different from a mill test report, which records the actual chemistry and mechanical test results from the producing mill. Many customers require both, and some standards for aerospace or pressure equipment require traceability from the shipped piece back to the heat. Be careful that the statement is true for what you ship, since a false certification has contractual and legal consequences.

Common mistakes

The usual problems are a missing or mistyped heat number, a specification without its edition or grade, and a certificate that does not name the purchase order. Others include signing without an authorized signatory and omitting the condition of supply. In an ERP, store the certificate against the lot or batch record so that it can be found during a receiving inspection or an audit. Retention periods are set by your customer contract and quality system.

  • Check grade, not just standard number
  • Match quantity to the packing list
  • Keep the certificate with the lot record

Frequently Asked Questions

Is a certificate of conformance the same as a mill test report?

No. A CoC is a statement of compliance with a specification and order. A mill test report records actual chemical and mechanical results for a heat. Customers often ask for both, especially for regulated or critical applications.

Who should sign the certificate?

An authorized person from the supplier quality function, as defined by your quality system or the contract. The signature gives the statement legal weight, so use a named signatory with the authority to certify.

Do I need heat numbers on a CoC?

Yes when traceability is required, which is common for steel, aluminum and aerospace materials. Even when not required, a heat or lot number makes problems easier to investigate later.

Can I edit the statement text?

Yes. The default wording is generic. Change it to match the wording your customer or contract requires, and have your quality or legal team confirm it is accurate for what you ship.

If your certificates sit in PDFs and email, we can build a private agent that matches them to ERP lots and flags missing or mismatched heats.
