APQP Checklist in Excel with Owners and Evidence

An APQP checklist is only useful if each line has an owner, evidence and a date. This worksheet lists the typical deliverables for all five phases and lets you edit, add and export them as an Excel tracker.

Deliverables follow the structure of the five APQP phases. Add rows for customer-specific items and change the owner names. Sort or filter by phase and status in Excel before each gate review.

Track APQP status without chasing spreadsheets

An optional review of linking program milestones to your ERP and quality data.

Optional. The tool and every export work without this. No spam.

How to use the checklist

Edit the example rows to match your program, add customer-specific deliverables and assign a real person to each line. Write the evidence as a document name or reference, so that at the gate review you can check it exists rather than ask someone. Export to Excel and filter by phase before every gate. A line only moves to Complete when the evidence has been reviewed, not when the work has started.

Phase by phase

Phase 1 collects customer needs and sets goals. Phase 2 covers the design, with the DFMEA and drawings. Phase 3 develops the process: flow, PFMEA, control plan and measurement plan. Phase 4 validates through a trial run, capability study and PPAP. Phase 5 uses production feedback to reduce variation and capture lessons. Each phase also needs management support, which is why sign-off lines appear in the list.

  • Link PFMEA and control plan: every high risk step has a control
  • Plan MSA before the capability study, not after
  • Confirm tooling and gauge lead times in phase 2
  • Keep customer-specific requirements as their own rows

Common mistakes

A checklist that is filled in at the end is a record of paperwork, not a planning tool. Avoid marking items complete without evidence, skipping the feasibility commitment, or leaving owners as departments rather than named people. Also avoid copying last program's checklist without reviewing risk: a new material or process changes what the PFMEA and control plan need to cover.

Frequently Asked Questions

What should an APQP checklist include?

It should list the deliverables of each of the five phases, such as design goals, DFMEA, drawings, process flow, PFMEA, control plan, MSA, capability study and PPAP, each with an owner, evidence and due date.

Is this the AIAG APQP checklist?

No. It is an independent checklist based on the phase structure of APQP. The AIAG manual is copyrighted and contains its own forms. Use this as a working tracker and refer to the manual for the full detail.

How often should I review it?

Weekly in the program team meeting and formally at each gate. Any item that is late or blocked should have an escalation owner so it does not surprise you at PPAP time.

Can I use it for aerospace programs?

Yes as a starting point. Aerospace suppliers often follow AS9145 for APQP and PPAP, which uses similar phases with aerospace-specific requirements. Adapt the deliverables to your customer's flow-downs.

Netray can connect this kind of tracker to your ERP so milestone status and open actions can be asked in plain language, on your own servers.
