Drawing Tolerance Clarification Request Template

When a drawing is unclear, silence costs more than a query. This template gives manufacturing and quality engineers a clean, traceable way to ask the design authority what a tolerance or GD&T callout means, before parts are made.

Drawing Tolerance Clarification Request

Query no: TQ-2026-014 Date: 2026-10-20 From: Northline Precision Ltd To: Harbor Dynamics Inc

Drawing reference

ItemDetail
Drawing numberDWG-48213
RevisionC
Sheet and zoneSheet 1, zone C4
Feature or balloonBalloon 12, bore diameter 22 H7
Issue typeUnclear datum scheme

Description of the issue

Position tolerance of 0.10 to datums A, B and C. Datum B is called out on a surface that is also controlled by flatness 0.05, but the drawing does not state whether datum B is the machined face or the cast boss.

Proposed interpretation

We propose datum B is the machined face at balloon 9. Please confirm or provide a corrected callout.

Impact if not resolved

First article inspection and CMM program are on hold. Lead time may slip by 3 working days.

Response from design authority

Response:

A starting point for your own process, not a contractual document or legal advice. Attach a marked-up copy of the drawing and, if relevant, a screenshot of the CMM program or gauge concept. Do not start production against an unresolved callout without written direction.

Track technical queries in your ERP

Optional: a short note on linking drawing queries to items, orders and revisions.

Optional. The tool and every export work without this. No spam.

How to use it

Fill in the drawing number, revision, sheet and zone, and the feature or balloon in question. Pick the issue type so the reader sees the category at a glance, then describe what is unclear and what interpretation you propose. A proposed answer speeds up the response because the engineer can confirm it instead of writing from scratch. State the impact on schedule. Export to PDF or Word, attach a marked-up drawing, and send it to the design authority.

What good queries contain

A good query is specific, short and answerable. It quotes the callout exactly, states which standard it assumes (ASME Y14.5 or ISO 1101 and 2692), and gives a proposed reading. Mention whether the drawing is under a customer control such as a PPAP, AS9102 first article or a purchase order flow down, because the response may need a formal drawing revision or engineering change. Keep one question per form so each answer can be filed against its own drawing revision.

  • Quote the exact callout and the datum letters
  • State the standard and year if shown on the drawing
  • Propose an interpretation
  • State what is on hold and for how long
  • Record the response and any change reference

Tracking and common mistakes

Queries get lost when they live in email threads. Number them, file them with the quote or order and link the resulting revision. A common mistake is acting on a verbal answer; get it in writing and note whether a drawing revision is needed. Another is raising several unrelated issues in one request, which delays closure. Finally, if the same feature produces repeated questions, feed that back to the design authority so the drawing standard or title block notes can be improved.

Frequently Asked Questions

Who should receive a drawing clarification request?

The design authority named on the drawing or purchase order, normally the customer's design or quality engineer, routed through the buyer if required by contract. Do not send it to a general mailbox without a named owner.

Is a response in email enough?

Often it is enough to proceed, but best practice is a written response on the form and, where the answer changes the requirement, a revised drawing or an engineering change. Check your contract and quality agreement.

Should I propose my own interpretation?

Yes. It reduces ambiguity and speeds the answer. Make clear it is a proposal for confirmation, and never begin production on that interpretation until the design authority has agreed in writing.

Can this be used for ISO and ASME drawings?

Yes. The form is standard neutral. Just note which standard and edition the drawing cites, since symbol meaning and default rules, such as the envelope principle, differ between them.

If technical queries and drawing revisions are tracked in your ERP or PLM, Netray can help link query records to items, orders and engineering changes.
