EDI Chargeback Dispute Tracker Worksheet

Retailers and OEMs deduct money for late ASNs, bad labels and invoice mismatches, often without much warning. Most of those deductions can be disputed, but only if someone tracks the deadline. This worksheet keeps every chargeback in one table with a deadline, a status and the amount recovered.

Dispute windows are set by each partner's vendor guide and are often short. Copy the exact deadline from the chargeback notice, not from memory.

How to use the tracker

Log each chargeback when the notice or remittance deduction arrives. Enter the partner reference, your PO, the reason, the dispute deadline and the amount. Update the status as you gather proof, such as the 856 transmission time, the carrier pickup scan and the 997 acknowledgment. When a dispute is won or partially won, enter the recovered amount and the net loss column calculates what you actually lost. Add a plain root cause so that fixes can be assigned.

  • Sort by dispute deadline to see what is about to expire
  • Attach evidence outside the sheet and note the file location in root cause
  • Review lost and accepted items monthly for process fixes

What evidence usually wins

Disputes tend to succeed when you can show timestamps and acknowledgments. For ASN penalties, the 856 transmission log with date and time, plus the partner's 997, proves when it was sent. For label issues, a photo of the carton and the label print record help. For pricing, the agreed price list or contract line. Each partner's vendor compliance guide defines what counts, so read it before you build the case.

Reading the numbers

Recovery rate shows the share of chargeback dollars you got back. A low rate with many accepted items often means nobody is disputing. The reason column is the more useful view: if one reason dominates, fix the process, not the individual deduction. A late ASN pattern usually means the ship confirmation in the ERP happens after the truck leaves, so the 856 trigger is late.

Common mistakes

Missing the dispute window is the most expensive mistake. Others include disputing without evidence, mixing credit memo timing with chargeback timing, and failing to match the deduction to the remittance advice. Reconcile deductions against your accounts receivable open items so unapplied cash does not hide them.

Frequently Asked Questions

How long do I have to dispute an EDI chargeback?

It depends entirely on the partner's vendor guide or portal terms. Windows from two to eight weeks are common, but you must check each agreement. Record the deadline from the notice the day it arrives.

What causes most ASN chargebacks?

Late transmission, data that does not match the physical shipment, and missing or wrong SSCC and label data are typical. The root cause is usually a timing or master data issue in the shipping process, not the EDI map itself.

Should I accept small chargebacks?

Sometimes the effort exceeds the amount, but accepting repeatedly signals there is no consequence and can hide a recurring defect. Track them anyway, and fix the cause for patterns.

Can this worksheet connect to my ERP?

It is a standalone Excel style table. Export to CSV to load into your ERP or BI tool, or ask us about automating the capture from remittance data.

If deductions are scattered across remittance emails and portals, Netray can help design a read-only ERP view that pairs each deduction with the shipment and EDI transmission record.
