EDI Transaction Cost per Document Calculator
Most teams know what their VAN or EDI provider charges, but not what an EDI document really costs once map maintenance, manual corrections and chargebacks are included. This calculator builds the fully loaded cost per document so you can compare options or justify improvement work.
Your numbers
All inbound and outbound documents, including acknowledgments if your provider bills them.
VAN or managed service fee divided by documents, or the per-document rate.
Documents that need re-keying or manual correction.
Documents causing a chargeback, short pay or rework.
Your results
This is a planning estimate based on your inputs. Maintenance and error costs are treated as fixed per month and per document respectively; actual costs vary by provider contract.
Monthly cost vs document volume
Sweeps EDI documents per month from 500 to 20000, holding your other inputs fixed.
Reduce manual EDI exceptions
Optional: talk through where ERP data checks could cut re-keying.
Optional. The tool and every export work without this. No spam.
How to use the calculator
Enter your monthly document volume and the fee per document. Add the hours your team spends maintaining maps and partner connections, along with a loaded hourly rate. Estimate the share of documents that need manual handling and how long each takes. Finally enter your error rate and the average cost of an error, including chargebacks, short payments and rework. The result is a monthly total and a cost per document.
- Use actual invoices from your provider for the fee per document
- Use ERP or ticket data for manual handling counts
- Use your chargeback log for the average error cost
The formula
Total monthly cost equals network fees (documents times fee) plus maintenance labor (hours times rate) plus manual labor (documents times manual share times minutes divided by 60 times clerk rate) plus error cost (documents times error rate times cost per error). Cost per document is the total divided by volume. Because maintenance is largely fixed, the cost per document falls as volume grows, which the chart shows.
Reading the result
If network fees are the smallest part of the total, switching providers will not help much; reducing manual handling and errors will. If the manual share is high, look at why: unknown item numbers, missing ship-to data or partner-specific formats. High error cost usually points at ASN timing and label problems, which you can see in the chargeback log. Use the annual figure for business cases.
Common mistakes
Leaving out the staff time to maintain maps and onboard partners understates the cost. Using only provider fees ignores rework. Applying an average error cost without evidence leads to disputes with finance; take it from the log. Remember that avoided cost is not cash savings unless headcount or fees actually change.
Frequently Asked Questions
What is a typical cost per EDI document?
Provider fees are often a few cents to a few tenths of a dollar per document, but fully loaded cost including labor and errors can be several times higher. Your own inputs matter more than any average.
Should I include acknowledgments in the volume?
Include them if your provider bills them or they consume processing. If acknowledgments are free and automatic, exclude them from volume for a cleaner view of business documents.
How do I estimate the manual share?
Count documents sent to an exception queue or re-keyed by hand over a typical month, and divide by total documents. Your translator's error queue and the ERP import log are good sources.
Can I use this to compare providers?
Yes. Change the fee per document and, if relevant, the maintenance hours, and compare the totals. Keep error and manual assumptions the same unless you have evidence the provider changes them.
If manual handling dominates your total, Netray can help assess where a read-only check on ERP data could prevent the exceptions.
