Gage Master List Worksheet
Every calibration system starts with a list of what you have. A gage master list identifies each measuring device, where it lives, who owns it and how often it must be calibrated. This worksheet gives you a ready structure to fill and export.
| Gage ID | Description | Type | Manufacturer | Serial number | Range | Resolution | Location | Status | Interval (months) | Owner | |
|---|---|---|---|---|---|---|---|---|---|---|---|
Give every gage a unique ID that is physically marked on the device. Never reuse the ID of a retired gage. Keep the manufacturer and model detail in the description if you need it for the lab quote.
Load your gage list into your ERP
We can help map this worksheet to equipment or asset records in your ERP so calibration status is visible in one place.
Optional. The tool and every export work without this. No spam.
How to use it
Walk the plant and add a row for every device that affects product quality: hand tools, fixed gages, test equipment, torque tools and software-driven systems such as a CMM. Assign a unique ID, record the serial number, range and resolution, and set the status and calibration interval. Keep the owner column filled in so someone is responsible. Sort by location to plan collection rounds, and filter by status to find anything quarantined or out for calibration.
What to include
Auditors check that the list is complete and that each item is traceable to calibration records. Beyond the basic columns, consider adding calibration source (internal or external lab), required accuracy, the characteristic it measures, and links to the calibration procedure. The list should also cover customer-owned and employee-owned equipment used for product acceptance, as well as reference standards that sit above the shop gages.
- Unique ID marked on the device
- Serial, range and resolution
- Location and owner
- Status and interval
- Link to calibration records
Common mistakes
Lists go stale. Devices get moved, borrowed or forgotten in a drawer, and then show up at audit with an expired sticker. Run a periodic physical audit against the list, and treat any gage not on the list as quarantined until identified. Do not leave the interval blank, since a missing interval means a missing due date. Also avoid duplicate IDs; a single master ID should map to a single physical device or a clearly defined set such as a pin gage kit.
Frequently Asked Questions
What equipment belongs on the master list?
Any device used to accept product, verify a process or take a measurement that affects quality or safety. That includes hand tools, fixed gages, test equipment, torque tools and environmental monitors such as temperature loggers.
Should retired gages be deleted?
No. Mark them retired and keep the record so the history remains traceable, especially if product was accepted with them. Remove them from active due-date tracking instead.
How do I handle gage sets such as pin kits?
Either give each pin its own ID or treat the set as one asset with a single ID and a set-level record. Choose one approach and apply it consistently so that lost or damaged items can be traced.
How often should I audit the list?
A physical check against the list at least once a year is typical, with spot checks during internal audits. Any gage found on the floor without an ID or sticker should be pulled and identified.
If your gage list should live as equipment records in your ERP or CMMS, Netray can help plan the data model and migration.
