India Plant Statutory Compliance Calendar Worksheet (Labour, Tax and Factory)
A plant in India handles dozens of recurring filings across labour, income tax, GST, company law and factory rules. This worksheet keeps them in one place, with owner, last completed date, status and amount, so nothing depends on one person's memory.
| Obligation | Area | Frequency | Due rule | Owner | Last completed | Status | Challan amount | |
|---|---|---|---|---|---|---|---|---|
Starter rows reflect commonly cited due dates and can change by notification or state rules. Add professional tax, labour welfare fund, contract labour and bonus filings as they apply to your state, and confirm every date on the official portal before relying on it.
Drive your compliance calendar from ERP data
Optional: discuss pulling payroll, TDS and GST figures from your ERP into a single tracker.
Optional. The tool and every export work without this. No spam.
How to use the worksheet
Review the starter rows and delete any that do not apply. Add rows for every filing your plant is subject to, including state items such as professional tax, labour welfare fund, contract labour returns and bonus returns. Assign an owner and write the due rule exactly as the law states. After each filing, update the last completed date and the status, and key in the challan amount. Export to Excel for your monthly compliance review.
The recurring obligations
Provident fund and ESI contributions are due on the 15th of the following month. TDS is deposited by the 7th. Monthly GST returns fall around the 11th and 20th, depending on the return and the scheme. Advance tax is paid in instalments on four dates across the year. Companies file MSME Form 1 twice a year for amounts due to micro and small suppliers beyond 45 days. Factory annual returns follow state rules.
- Statutory deposits first, returns next, annual filings last
- State rules vary for professional tax and labour welfare
- Penalties and interest accrue from the day after the due date
Reading the sheet
Filter by status each week and review the overdue and pending rows. The total challan amount gives a view of cash needed for statutory payments, which treasury should plan. A growing list of overdue items points to ownership or data problems rather than the filing itself. Where one person owns most items, spread ownership to cover leave and attrition.
Common mistakes
Plants miss filings when due dates change by notification, when a state rule differs from the central pattern, or when an owner leaves. Payments are also made without reconciling the ledger, so the amount deposited does not match the books. Link payroll, payables and tax ledgers in your ERP to the calendar so amounts are drawn from system data and reconciled each month.
Frequently Asked Questions
Are these due dates the same in every state?
Central dates for PF, ESI, TDS and GST are broadly uniform, but professional tax, labour welfare fund, shops and establishments and factory returns follow state rules. Treat the starter rows as a pattern and verify each date on your state or central portal.
What happens if a due date is missed?
Consequences differ: interest and damages for PF and ESI, late fee and interest for GST, interest and fee for TDS, and penalties under company and factory law. Late filing can also affect compliance ratings with buyers and lenders.
Who should own each compliance?
Assign by function: HR for labour contributions, accounts for tax and GST, the company secretary for company law filings and the factory manager for factory returns. Name a backup for each, and review ownership every quarter.
What is MSME Form 1?
It is a half-yearly return to the Registrar of Companies by companies that owe money to micro or small enterprise suppliers for more than 45 days, giving the amount and reasons for delay. Check current requirements with your company secretary.
If compliance deposits and returns are still tracked from personal reminders, we can help connect payroll, tax and payables data in your ERP to a shared compliance calendar.
