India Factory Statutory Compliance Calendar (Editable Excel Worksheet)

Most Indian plants run their statutory filings from a spreadsheet that one person maintains. This worksheet gives you a clean starting calendar with the usual monthly, quarterly and annual items, an owner for each, and an internal buffer so filings are done before the portal deadline.

Due dates shown are common central rules and change by notification, state and taxpayer category. Confirm each date on the relevant portal or with your consultant before relying on this calendar.

Automate compliance reminders from your ERP

Optional: tell us your ERP and we will suggest how due dates and filing data can be pulled from it.

Optional. The tool and every export work without this. No spam.

How to use the calendar

Start from the example rows and delete anything that does not apply to your unit. Add your own items such as state professional tax, labour welfare fund, consent to operate renewal, boiler or pressure vessel certification and fire NOC. Give every row a single named owner, not a department. Set the next due date as the real date on the calendar, then use the internal buffer to decide when preparation must be finished. Export to Excel and share it with your CA and HR lead so everyone works from the same list.

  • One owner per row, with a named backup
  • Update next due date after each filing
  • Mark Late honestly, then add the reason in your own log
  • Review the sheet in the first week of every month

What the common items mean

TDS deducted in a month is generally deposited by the 7th of the next month. GSTR-1 is filed by the 11th and GSTR-3B by the 20th for most monthly filers, though quarterly filers and some states follow different dates. EPF and ESI contributions are due by the 15th of the following month. Advance tax is paid in four instalments for most taxpayers. Factory licence, pollution consent and boiler certificates are renewed on dates fixed by your state authority, so those dates must come from the certificates themselves.

Common mistakes

The biggest mistake is treating the calendar as static. Due dates are extended or changed by notification, and a late fee under GST or interest under the Income Tax Act accrues from the original date unless an extension applies. Another mistake is tracking only tax items and forgetting licence renewals, which are the ones that can stop production. Finally, do not let the owner column say only Accounts or HR. Name the person.

Frequently Asked Questions

Is this an official government calendar?

No. It is a planning worksheet. Dates are typical central rules and can change by notification, state, or taxpayer category. Always confirm on the GST, Income Tax, EPFO and ESIC portals or with your consultant.

Can I add state specific items?

Yes, rows are fully editable. Add professional tax, labour welfare fund, shops or factory licence dates, consent to operate and any other state obligation, with the date taken from your own certificates or state notifications.

What is the internal buffer for?

It is the number of days before the portal deadline by which your team should have the filing ready. A buffer of two to five days protects you from portal congestion, missing data and approval delays.

Does it export to Excel?

Yes. You can export the worksheet to Excel, PDF, Word or CSV, then keep it in a shared drive or paste it into your own compliance register.

If your ERP already holds payroll, GST and purchase data, we can help automate reminders and pre-filled reconciliations from it. This calendar works fine without that.
