Reinforce issue transaction at the cell. Recount adjacent bins within five working days.

Set approval thresholds by value in your own policy. This template is a starting point and not accounting or legal advice; align it with your auditors and your ERP adjustment transactions.

Automated variance investigation

Optional: a short review of how AI can draft variance explanations from your transaction history for human approval.

Optional. The tool and every export work without this. No spam.

How to use the form

Fill in the part, location and both quantities, choose a reason code, and write down what the investigation found. Print or export to PDF, collect signatures, and attach the form to the ERP transaction or file it with the cycle count record. Do this before posting the adjustment, not afterwards, so the approval is genuine rather than retrospective.

Why the root cause matters

An adjustment that fixes the number without fixing the cause is a recurring cost. A variance traced to a missing backflush, a unit of measure error at receiving or a mixed bin tells you which process to fix. Tracking reason codes over a quarter shows where inventory accuracy is being lost.

  • Always record the reason, not just the quantity
  • Recount adjacent bins when a variance is found
  • Review reason codes monthly for patterns

ERP transactions it supports

The form supports the adjustment itself: movement types 701 and 702 for physical inventory differences in SAP, miscellaneous issue and receipt or cycle count adjustment in Oracle and Epicor, and inventory adjustment records in NetSuite and Business Central. Use the ERP's own posting and keep this form as the supporting evidence.

Common mistakes

Posting small adjustments without a form because each looks harmless, then finding they total a large amount at year end. Using one reason code for everything. Allowing the same person to count, investigate and approve, which defeats segregation of duties.

Frequently Asked Questions

What approval threshold should I use?

There is no universal figure. Set tiers by adjustment value and by part risk, with higher approvers for larger values and for controlled items. Agree the tiers with your finance team and auditors, then apply them consistently.

Does every adjustment need this form?

Policy decides. Many plants allow small cycle count corrections inside a tolerance without a form but require one above a value or percent limit. Whatever you choose, log the small ones too.

Who should sign?

At least the person who investigated and a person who did not perform the count. Add finance above your value threshold. Segregation of duties is the point of the signatures.

Can I attach photos?

Export the form to PDF and attach photos of damaged or mislabeled stock in your document system. Reference the file name in the root cause field.

We can help build an adjustment workflow where AI drafts the root cause summary from transaction history and a human approves. Ask for a review.
