How to use the form

Enter the organization, item, current and proposed cost, on-hand quantity and reason. Add a short justification a reviewer can understand without opening the ERP. The impact table prompts you to consider revaluation, open jobs, sales margin and purchase price variance. Export to PDF, collect signatures and file it with the cost update run. For many items at once, attach the exported list from your cost roll.

  • One form per item, or attach a list for mass updates
  • Use the same reason categories every period for reporting
  • Keep the signed copy with the period close folder

What happens in Oracle when cost updates

Oracle Cost Management lets you update pending costs into a frozen cost type through the cost update process. The system revalues on-hand and in-process quantities and creates adjustment transactions to the accounts defined for the organization and cost update. The financial effect is approximately quantity times the cost difference. This form helps you estimate and approve that effect before it posts.

Estimating the revaluation

A simple estimate is on-hand units times the difference between proposed and current cost. With the defaults here, 420 units at a change of 6.35 gives about 2,667 in revaluation. Add work in process and in-transit quantities for a fuller figure. If the result is material relative to period profit, flag it to the controller and agree timing. Small increases on slow-moving items rarely matter, while many items at once can.

Common mistakes

A frequent error is updating cost mid-period without agreeing the effective date, which splits transactions between old and new cost. Another is forgetting that open purchase orders still carry the old price, creating purchase price variance. Roll-up errors, such as a wrong lower-level cost, are better fixed at the source than corrected by overriding the parent. Always reconcile the change report to the form after the update.

Frequently Asked Questions

Does this form update costs in Oracle?

No. It documents the request and approval. The actual update runs inside Oracle Cost Management by someone with the right responsibility, using your normal process.

Is it only for standard costing?

It is designed for standard cost changes. For average costing, cost changes arise from transactions, but a similar form can document manual cost updates.

Who needs to approve?

Your internal control policy decides. A typical chain is requester, cost accountant, controller, and operations for material changes. Edit the signature lines to match.

How do I estimate impact quickly?

Multiply on-hand and in-process units by the cost difference, then add open purchase and sales effects. This is only an estimate. Oracle's cost update report gives the figures that will post.
