SyteLine Inventory Adjustment: Insufficient Quantity on Hand
SyteLine miscellaneous issue insufficient quantity on hand error
Also searched as
- SyteLine inventory adjustment will cause negative quantity
- SyteLine quantity on hand does not match location total
- SyteLine cannot issue more than on hand at location
- SyteLine item warehouse quantity out of sync with item location
Short answer
SyteLine validates an issue or adjustment against quantity at the exact item, warehouse, location and lot, not the item total. The error usually means stock sits in a different location or lot, a prior transaction is unposted, or the warehouse and location quantities have drifted apart. Check the quantities at each level, fix the real cause, then post the adjustment.
Applies to: Infor SyteLine 8.x and CloudSuite Industrial, Inventory module (Miscellaneous Issues, Miscellaneous Receipts, quantity adjustment forms)
How to resolve the quantity error
- 1Note the exact item, warehouse, location and lot on the failing transaction.
- 2Open the Item Locations or on-hand inquiry for that item and compare quantity at that location to what you tried to issue.
- 3Check whether the stock is in a different location, a different lot, or in a non-nettable or quarantine location.
- 4Look for unposted or pending inventory transactions for the item, such as unposted job material issues or receipts waiting in a batch.
- 5If the physical stock is really there but the system shows less, correct it with a documented receipt or cycle count adjustment, not by forcing the issue.
- 6If the system shows more than reality, adjust down with a reason code and approval so the cost impact is traceable.
- 7If warehouse total and location totals disagree, run the SQL reconciliation below and involve support before editing data.
- 8Retry the original transaction and confirm the on-hand and the transaction history both reflect it.
Where SyteLine checks quantity
Inventory in SyteLine is held at several levels: item-warehouse quantity in itemwhse_mst, item-location quantity in itemloc_mst, and lot-location quantity in lot_loc_mst when the item is lot tracked. A transaction posts through all of them and writes a row to matltran_mst. The validation that raises an insufficient quantity message is checking the most specific level your transaction names, so a large item total does not help if the chosen location is empty.
That is why the same item can be issued from one location and rejected from another. It is also why users report the message as wrong when the item inquiry shows plenty of stock: the inquiry is summing levels the transaction does not use.
Typical causes
The most common cause is wrong location or lot entered on the form, often from a barcode scan that defaulted to the previous record. Second is stock that was received but sits in a receiving or inspection location that is not issuable. Third is a transaction that has not been posted yet, so the quantity has not arrived at the shelf from the system's point of view.
Less common but serious is drift between levels, where the warehouse total is not the sum of its locations. It can follow a failed posting, a direct SQL update, or a custom event that wrote to quantity fields. Do not fix it by editing quantities yourself without a backup and a support case, because cost layers and transaction history will stop agreeing.
-- Find items where warehouse quantity differs from the sum of locations
SELECT w.item, w.whse, w.qty_on_hand AS whse_qty,
SUM(l.qty_on_hand) AS loc_qty
FROM itemwhse_mst w
JOIN itemloc_mst l
ON l.item = w.item AND l.whse = w.whse AND l.site_ref = w.site_ref
GROUP BY w.item, w.whse, w.qty_on_hand
HAVING w.qty_on_hand <> SUM(l.qty_on_hand);Correct it without breaking cost or audit
Always adjust through a SyteLine transaction so a matltran_mst row is written with a reason code. A quantity fixed by SQL leaves no trail, and the next cost rollup or physical count will surface a variance nobody can explain.
Check the negative inventory setting in Inventory Parameters and any item-level controls for your release. Some sites deliberately allow negative on-hand to keep the floor moving and clean up later. That is a policy choice, and turning it on to silence this error just moves the problem into the count.
Common pitfalls
- !Forcing an issue by temporarily allowing negative inventory and forgetting to turn it back off.
- !Adjusting the quantity at the warehouse level while locations still show the old figure.
- !Ignoring lot or serial assignment on a tracked item; the lot quantity may be zero even when the location has stock.
- !Editing itemloc_mst or itemwhse_mst directly in SQL, which skips cost layers and transaction history.
- !Posting a correction without a reason code, so the next audit cannot tell a count error from a theft or scrap event.
How an ERP-grounded AI assistant handles this
SyteRay can read item, warehouse, location and lot quantities with matltran_mst history and explain in one answer why a given issue was rejected, for example that the stock is in a receiving location or that a posting is pending. It can flag items where warehouse and location totals disagree. Any correcting transaction is proposed for human approval, never posted on its own.
Frequently asked questions
Why does the item show stock but the issue fails?
The item inquiry usually shows a total across warehouses and locations. The issue is validated against the specific warehouse, location and lot on the transaction. If that exact combination holds less than you are issuing, the transaction fails even though the item total is large.
Should I just allow negative inventory?
Only if that is a deliberate policy for your site. It hides receiving delays and unposted transactions, and moves the error to cycle counts and cost variances. Fix the cause first, and use negative allowance as a controlled exception rather than a default.
Can I fix the quantity directly in SQL?
Avoid it. SyteLine writes quantity, cost and transaction history together. A direct update changes one without the others, creating discrepancies that appear later in valuation and ledger reports. Use an adjustment or count transaction, and involve Infor support if totals are truly corrupt.
How do I stop it from recurring?
Train scanners and users to confirm location and lot before posting, post receiving and job transactions promptly, and run regular cycle counts. A scheduled reconciliation query for warehouse versus location totals catches drift early, before it blocks a shipment.

How to Run a Cycle Count in SyteLine
Cycle counting in SyteLine runs through Inventory > Cycle Count: generate a count list by ABC class or location, print or enter tags, key the counted quantities into Cycle Count Entry, then review the variance report before posting the count to update on-hand quantity.
How-toHow to Set Up Lot and Serial Number Tracking in SyteLine
Lot and serial tracking is turned on per item on the Items form, with a tracking type of None, Lot, or Serial. Once enabled, every receipt, job move, and shipment transaction for that item prompts for a lot or serial number assignment, and SyteLine keeps a full genealogy you can trace forward to customer shipments or backward to the receiving vendor.
Error fixFixing SyteLine's 'transaction out of balance' GL posting error
This posting error means SyteLine tried to create a general ledger journal entry where total debits do not equal total credits, which the GL will not accept. The most frequent causes are a missing or misconfigured account in the automatic account determination setup (COA mapping), currency rounding on multi-currency transactions, or a source transaction (inventory, job cost, AP/AR) that only partially calculated its cost or tax components before posting.
Error fixSyteLine error: no cost record exists for this item at this site
SyteLine will not post an inventory, job, or purchasing transaction that has no valid standard (or average) cost record for the item at that site and cost type, because the transaction needs a cost to value the GL entry. Run a cost rollup or manually enter the item's standard cost in Item Costs, make sure the cost is effective-dated to cover the transaction date, then reprocess.
Error fixFixing SyteLine's 'Object reference not set to an instance of an object' error
This is a generic .NET NullReferenceException surfacing through the SyteLine IDO Runtime, not a SyteLine-specific error code. It almost always means a form, script or IDO method referenced a field, row or object that came back null, usually after a customization, a missing related record, or a view/IDO method call before the form finished loading. Turn on detailed client logging and check the most recent customization or form event first.
Error fixDiagnosing and fixing SyteLine session timeout errors
SyteLine session timeouts come from one of three independent layers: the IDO Data Service session timeout on the app server, the IIS/application pool idle timeout for the web (Mongoose Web) client, or a load balancer/proxy idle timeout in front of a CloudSuite hosted environment. Fixing the wrong layer is the most common mistake - you need to identify which layer is actually expiring the session before changing anything.
